What is Sage HR Online Services?

Sage HR Online Services is your new online payslips portal that is included with Sage 50 Payroll. Just like you could with Sage Employee Online Services, you can upload employees' payslips and P60s from Sage 50 Payroll up for employees to view online and download - Read more >


Is there a cost involved in moving to Sage HR Online Services?

No, moving to and using Sage HR Online Services is included as part of Sage 50 Payroll. The only potential cost would be if you choose to subscribe to additional Sage HR modules, but these are completely optional to subscribe to.


Can I stay on Sage Employee Online Services?

The move to Sage HR Online Services is mandatory as Sage Employee Online Services, accesssed via eol.sage.co.uk, uses an older system in the background, which will soon be discontinued in March 2023 and coincide with the release of the payroll year-end update for Sage 50 Payroll. Any customer not already on Sage HR Online Services when they install this update, will have to set up their online payslips portal again. 


Do I have to use Sage HR Online Services if I no longer use online payslips?

The reason we are moving you is that you have previously registered for Sage Employee Online Services in the past. If you no longer need to use an online payslips portal, you don't have to use it going forward. It just means if you do decide to start using Online Services again, it will now be Sage HR Online Services that you will use, not Sage Employee Online Services.


When will I move?

All customers should have received their prompt to move in each company still using Sage Employee Online Services.

Does this move affect processing payroll?

When you receive your prompt, you won't be able to log in until the move has been started and completed, which doesn't take long. Once done you can continue your usual payroll processes as normal. 

NOTE: Moving to Sage HR Online Services only changes the way you make payslips available to for employees access themselves online, it doesn't affect the way you process payroll, such as updating records, FPS etc.


What happens if I have multiple companies?

You have to migrate each company separately, so a prompt will appear for each company you have that is still on Sage Employee Online Services. If the same email address is used to migrate each company, they should automatically be linked together so you can switch between your companies that are on Sage HR Online Services. If for some reason one of your companies are linked, can you can contact Sage 50 Payroll or Sage HR support for us to manually link these together for you. We would just need DPA from an admin of each company.


How can I tell if my company is already using Sage HR Online Services or not?

If you're unsure whether one of your companies has migrated yet, it's easy to check.

Log in to Sage 50 Payroll, and click Company. If you see the option Online Services Settings your company is using Sage HR Online Services. If it says Online Document Settings, it is still using Sage Employee Online Services.


I haven't migrated yet, but I've got the prompt to move and not had time to do the preparation steps, what do I do?

If you haven't had the chance to do the preparation tasks, but your prompt has appeared, we advise you to do as much of the preparation tasks as you possibly can. It is possible to do these tasks outside of Sage 50 Payroll.

You won't be able to log in to your company until you have completed the migration. If you urgently need to access your company, please follow the guidance in I haven't done the preparation steps yet.


What do I do if I complete the move without completing the preparation steps?

The move to Sage HR Online Services will be successful, but if you didn't do any of the preparation tasks, there may be some consequences. For example, you may now have leavers appears as active employees in your new portal. We explain what you should do in I've migrated without completing the preparation steps.


Why should I remove leavers in Sage Employee Online Services?

When you move, all employees listed in Sage Employee Online Services are moved across to Sage HR Online Services and will show as active employees. If you've left employees listed in Sage Employee Online Services after processing them as a leaver in Sage 50 Payroll, if you don't delete them in the portal before the move, they will appear as current employees in Sage HR Online Services after the move.

NOTE: Deleting the leaver in Sage Employee Online Services doesn't delete the employee record in Sage 50 Payroll, so you can still run a payslip report for any leavers from within Sage 50 Payroll.


What if I don't have time to delete all my leavers?

The move will still work if you don't remove your current leavers, it's just they will show as current employees in your new portal after the move. It is possible to remove them in Sage HR Online Services after the move by following the steps to terminate them, but please be aware this may take you longer to do than had you removed them in Sage Employee Online Services before the move. Therefore we advise you remove as many current leavers in Sage Employee Online Services as you can before the move.


Will leavers I delete before I move still be able to access their payslips online?

Leavers you delete in Sage Employee Online Services will no longer have access to their payslips online. If a leaver gets in touch requiring old payslips, even though they won't be able to access them themselves online, you can generate their payslips for them in Sage 50 Payroll and send them to directly. 


Will future leavers be able to still access their payslips?

Once you're on Sage HR Online Services, whenever an employee leaves you will 'terminate' them so they no longer appear as a current employee in your payslips portal. You can enable a setting to allow leavers access to their payslip up to a year after their termination date. If you enable this setting, we recommend you make leaving employees aware of this so they know there is a deadline for them to download their payslips.


Will I still have access to Sage Employee Online Services, after the move?

You'll no longer have access to the old portal for the company that is moving.


Will Sage HR Online Services be different?

Sage HR Online Services will look and feel different to what you and your employees are used to. We run through some of the changes in our guide.


Are employee users aware of the changes?

After the move if employees try to access their payslips the way they're used to, they're informed the service has changed. Hhowever, we recommend that you inform your employees of the change. Why can I see employees who have left after the move, even though they are marked as leavers in Sage 50 Payroll?

Marking an employee in Sage 50 Payroll doesn't remove them from Online Services. Every employee listed in Sage Employee Online Services is moved across to Sage HR Online Services and will show as an active employee. This is why we advise customers to ensure any leavers still listed in Sage Employee Online Services are deleted before you start the move.

Will employees still get email notifications about their payslips?

Yes, when you upload your payslips from Sage 50 Payroll your employees are notified by email, and if they have the Sage HR app downloaded they get a mobile notification too. If you schedule a payslip, they'll receive the notification on the scheduled publish date - Read more >

 NOTE: If you are a Sage 50 People Package customer, you can also use the announcements feature in Sage HR's Core HR module to let your employees know their payslips are ready.


How do employees log into the portal to see their payslips?

After your move, if employees try to access their payslips using their old Sage Employee Online Services link, they're informed their Online Payslips service has changed and are provided their new link to log in. Employees can log in via your company's unique Sage HR URL on their payslip notification or go to sage.hr/signin to log in - Read more >


Can employees only access payslips using the Sage HR app?

No, employees can view and download their payslips via the website version too on a computer or tablet. However, to view and download their payslips on their phone we advise using the Sage HR app, not their phone's mobile internet browser.


An employee is having issues logging in with their usual login details?

If you have an employee having trouble logging in, check whether the email address they are using is the same as the email address in their Sage HR Online Services profile. How do I upload my payslips?

Your process to upload payslips is slightly different now as it is done solely in Sage 50 Payroll, with is no need to log into the portal to publish them.

Where can I see a list of published payslips?

Uploaded payslips show on the Company's payslips tab in Sage HR Online Services. You can also view them in each employee's profile in Sage HR Online Services. For steps on how to view payslips and P60s - Read more >


Where can I see the payslips that are currently scheduled?

It is possible to schedule when payslips are uploaded to Sage HR Online Service. Once scheduled you can see them with a status of 'Pending' on the Company payslips tab on your main menu in Sage HR Online Services - Read more >


Who can see payslips in Sage HR Online Services?

  • Employees can only see their own payslips.
  • The main admin, the one that starts the move when you sign in, can view all payslips for all employees in Sage HR Online Services.
  • Additional admins created in Sage HR Online Services can view all payslips and P60s for all employees by default, but if you don't want an additional admin to be able to view other employees' payslips their access to these can be disabled

    NOTE: Anyone you give admin access to in Sage HR Online Services can view all employees payslips by default. You can only allow an additional admin access to all or no payslips.

Can users who can upload payslips be able to view them in Sage HR Online Services?

Only the main admin has both access by default to upload payslips from Sage 50 Payroll and view them in Sage HR Online Services. The person who enters the details to start the move will become this main admin. Any other user in Sage 50 Payroll who can upload payslips can only view other employees in Sage HR Online Services if you give them admin access separately.

NOTE: Anyone you give admin access to in Sage HR Online Services can view all employees payslips by default. You can only allow additional admins access to all or no payslips. 


Are admins moved across to Sage HR Online Services?

When you first move to Sage HR Online Services, you will initially only have one admin. This is the main admin and is determined by the Sage account used to start the migration. You can add more admin users:

TIP: By default additional admins can view all employee payslips, however you can disable their access to see others' payslips.


Will all previous payslips and P60s move across to Sage HR Online Services?

All payslips and P60s already published in Sage Employee Online Services should appear in your new portal. In the unlikely event that some appear missing, you can simply re-upload them.


How do I resend a welcome email?

A welcome email is sent to an employee the first time you add them to Sage HR Online Services, either when you add them manually or by uploading their payslips for the first time. If required, you can resend a welcome email to an employee at any time from within Sage HR Online Services.


Employees can see other employees and their details, can I change this?

If you have employees who can see other employees in Sage HR Online Services, this is down to your employee permissions. 

These permissions can be amended to be as strict as you like, whether you just don't want employees to be able to see other employees' email addresses, prevent employees from seeing any details of other employees, or even to stop employees from being able to see any other employee listed at all in Sage HR Online Services.

Do I have Sage HR modules?

You won't have the Sage HR modules unless you choose to subscribe to them. The Sage HR modules are optional to subscribe to but are great tools to have as part of your HR management. You can even trial using them first to see what they're like.

NOTE:  If you're a Sage 50 People Package customer, you already have the Core HR module of Sage HR for free which you can set up straight away after you move.


What happens if I already have a Sage HR company? 

You don't need to worry, your Sage HR Online Services company and Sage HR company will co-exist happily as separate companies. Employees who exist in both (and use the same email address) will be able to switch between the two services by clicking on the company name at the top right hand side of the portal after logging in. If the employee uses different email addresses for Sage HR and Sage HR Online Services then they would log in as usual and there would be no access between the two services.

 NOTE: If your other Sage HR company is not integrated with Sage payroll software, be aware that logins may be the same email, but they are their own login. So resetting a password only resets it for that company, not for their payslips company, and vice versa.


Can I upload documents in Sage HR Online Services?

The ability to upload documents is available if you subscribe to the Core HR module. Only payslips and P60s upload to Sage HR Online Services from Sage 50 Payroll directly, any other document you need to export and upload manually to Sage HR Online Services, providing you have the Core HR module.

NOTE:  If you're a Sage 50 People Package customer, you have the Core HR module of Sage HR for free which you can set up straight away after you move.


How do I get support if I have a problem with Sage HR Online Services?

As Sage HR Online Services integrates with Sage 50 Payroll, if you need further help you should contact Sage 50 Payroll technical support.

NOTE: Sage HR support, which can be accessed in the chat option within Sage HR Online Services, primarily supports the Sage HR modules. They can provide limited support if you have a problem with Sage HR Online Services, but you may be referred to contact Sage 50 Payroll support.


Can employees contact Sage support?

We have a support hub for employees that contains online guidance, however, due to data protection we are unable to support employees directly, and can only support employers and admin users. If an employee can't find the answer they require from our online guidance they must contact you, the employer, to investigate. You can contact technical support on their behalf.
