Moved to Sage HR Online Services without completing preparation steps
Description

Before you move to Sage HR Online Services, there are four tasks we recommend to do before you start the migration.

  • Remove leavers from Sage Employee Online Services
  • Check email addresses - Most importantly, confirm the email address you use to start the move isn't the same as one used for an employee
  • Notify your employees about there being a change soon
  • Publish any pending payslips

If you didn't do these preparation steps before migrating, we explain below what happens and what you need to do.

What happens if I migrate without deleting leavers in Sage Employee Online Services?

Any leavers that were listed in Sage Employee Online Services that you didn't delete will now show as active employees in Sage HR Online Services. To remove them as active employees you need to 'terminate' them.

For steps on how to do this in Sage HR Online Services, use our guide - Remove employees who have reappeared after updating Online Services.

What happens if I migrated without checking email addresses?

If you didn't check the email address of your employees and/or manager users, below are some of the potential issues that can occur.

  • Employees may try to log in to Sage HR Online Services using the wrong email address - They must make sure they are using the email address that shows in their profile in Sage HR Online Services to log in. If this email address is wrong, follow the steps in Change an employee email address to amend this.
  • Main admin profile and employee profile may have merged - The email address you use to start the move becomes the main admin in Sage HR Online Services. If this was the same address as one for an employee listed in Sage Employee Online Services, their profile merges with the main admin profile. If this happens, this is irreversible. If this has occurred, please contact Sage 50 Payroll support so we can check and confirm any additional steps that need to be taken.

What happens if I migrate without notifying my employees?

If you didn't notify your employees before the move, the consequence is that they may be unaware of the changes. Don't worry though, we have a suggested email template available in Step 3 - Notify your employees in our support hub. This explains the changes they'll see and how they can log in going forward.

What happens if I didn't publish pending payslips?

After you complete the migration, you can easily just upload those payslips again that were sat as pending before the move.

TIP: Watch a recording of our live webinars where a Sage expert shows you how to upload payslips to the new portal.
