Syncing issues between sites with different Dataset IDs
Description

Data can be out of sync for a few reasons:

  • If the Remote Data Access connection fails
  • If each computer connects to a different set of data
  • If the computers aren't using Remote Data Access at all. For example, they're connected over a local network

Check the Dataset ID

Check that the computers connect to Remote Data Access, and have the same Dataset ID.

To check if your computers are on Remote Data Access:

  1. When logged into your company, go to Help, then select About.
  2. In the middle column, scroll down to Remote Data Access Information.




Next to Dataset ID it will either show:

    • Main – This is the main site, where you uploaded the data to Remote Data Access. Usually where the data's held, or it's networked to a server which holds the data

    • Remote – This is a remote site and you connect remotely using Remote Data Access to the main site

    • N/A – The data isn't on Remote Data Access. This computer is accessing the data either locally or over a network

  1. If it says either Main or Remote, underneath it on the next line down, check the Dataset ID.

Resync the data

Both computers are using Remote Data Access, and have different Dataset IDs which means they're looking at different data.

To resolve this, you need to either refresh the Remote Data Access connection or disconnect the remote site from Remote Data Access. You can then reconnect. This results in the remote site showing the same data showing at the main site.

Before you do this, check if there are any transactions showing on one computer that aren't on the other.

  1. Check to see when the last time the transaction numbers had matching information. If the most recent don't match, scroll down until you find the last time the transactions matched.

    For example, transaction number 100 is the same on both sites, but then differ from number 101 onwards.

  2. You'll see one of three potential scenarios: 
▼ Remote site has no transactions after the last matching transaction, but the main site does
  1. Back up your data on both computers.
  2. At the main site, log into Sage 50 Accounts as Manager and refresh the Remote Data Access connection:
  • Go to Tools, then select Remote Data Access, select Lock Remote Data Access then Refresh Remote Data Access data
  1. Check if the computers are in sync.

To confirm this:

  • Go to Help, select About, then check the Dataset ID in the Remote Data Access Information section

If they're still out of sync, disconnect the remote site from Remote Data Access, and then reconnect.

 TIP: Test the Remote Data Access connection by processing a transaction on the main site and the remote site. If there's still a syncing issue, reset Remote Data Access 


▼ Main site has no transactions after the last matching transaction, but the remote site does 

  1. Back up your data on both computers.
  2. Restore an up-to-date backup onto the main site.
  3. At the main site, log into Sage 50 Accounts as Manager and refresh the Remote Data Access connection:
  • Go to Tools, then select Remote Data Access, select Lock Remote Data Access then Refresh Remote Data Access data
  1. Check if the computers are in sync.

To confirm this:

  • Go to Help, select About, then check the Dataset ID in the Remote Data Access Information section

If they're still out of sync, disconnect the remote site from Remote Data Access, and then reconnect.

 TIP: Test the Remote Data Access connection by processing a transaction on the main site and the remote site. If there's still a syncing issue, reset Remote Data Access 


Both the main site and the remote site have transactions after the last matching transaction  

  1. If both sites have different transactions after a specific transaction number, back up your data on each site, then decide which needs the least reprocessing.
  2. Once you have chosen your backup, restore this backup onto the main site.
  3. To reprocess the missing information, you have two options:
    • Manually reprocess missing transactions
    • Export missing transactions from the other backup, then import them into your main site computer

       NOTE: If you created any records, for example customers or products, on the other computer, you'll need to import these first before importing transactions. 

     

  4. Once the main site is up to date, log in to your company as the Manager, then refresh the Remote Data Access connection:

  • Go to Tools, then select Remote Data Access, select Lock Remote Data Access then Refresh Remote Data Access data
  1. Check if the computers are now in sync:

If the data does sync, you can continue processing.

If the issue persists

If the sites still display different transactions, reset Remote Data Access.
