You can subscribe to the Sage 50 Payroll Pensions Module, which has additional options to make processing automatic enrolment even easier.
Pensions Module start up
When you first access the Pensions Module, you need to get setup for automatic enrolment with the thepensionsregulator.gov.uk. Whether you're setting up a new company or an existing company, follow the steps to set up the Pensions Module.
Import pension data
To keep your data secure, import information from your pension provider directly into Sage 50 Payroll using the Pensions Module - Import Pension Updates.
With Pensions Data Exchange, check for any pension updates, sync your information, and import updates from my pension provider.
Pension assessment
To ensure you comply with automatic enrolment legislation, assess each of your employees every pay period to identify what category of worker they are. This is because the status of your employees can change from period to period.
When you run the Pension Assessment, it automatically assesses your workforce and enrols any employees who are eligible jobholders based on specific criteria:
- The employee's age
- Whether the employee is a UK worker
- How much the employee earns
If eligible after the pay date, the employee is still automatically enrolled in the pension scheme for that tax period. However, no pension contributions are made until the next pay period. The Pensions Module automatically calculates the contributions and adds this to the following month's contribution. You can also opt in or out and postpone assessment for employees.
Opt out and leave
Part of your automatic enrolment employer duties is to accept opt out and leave requests from jobholders and entitled workers. An employee's decision to opt out or leave a pension scheme depends on their worker type and the timing of the opt out request.
Opt in and join
Another duty you have for automatic enrolment as an employer is to accept opt in and join requests from non eligible jobholders and entitled workers. Whether an employee opts in to a qualifying pension scheme, or whether they join a pension scheme depends on what type of worker they are.
The Pensions Module categorises workers and provides only the pension schemes they're entitled to process opt in/join requests in the Pensions Module. Non eligible jobholders who opt in to a qualifying pension have additional rights, and as an employer you have to contribute to the pension.
Postpone
You can also postpone an employee's automatic enrolment for up to three months for some or all of your employees.
Send pension data
As part of automatic enrolment, inform your pension provider of certain information, such as your employee details, their status and contributions they're due to make. This is to ensure you're complying with the rules of automatic enrolment.
You can use the Pensions Module to produce this information in a format ready to upload or email to your pension provider. It automatically produces a list of your employees, what category of worker they're and what they're contributing. This includes member enrolment and contribution information.
This option is currently only available with certain pension providers. We're working with other pension providers to bring you more options going forward.
Once the pension provide accepts your data, mark it as confirmed in the software. The software retains previously confirmed exports for you to view historically.
Review pension payments
NOTE: The report created is called the Schedule of Payments report.
Once you've taken your employee pension contributions you must pay this money, along with your contributions, to the pension provider regularly. How regular you do this depends on your pension rules and if you've got multiple pension schemes with multiple pension providers. This can become difficult to manage.
Using Review pension payments within the Pensions Module, you can view the total to pay to each pension provider. This gives you full visibility of your payment schedule, and how much each employee has contributed over a particular date range.
Send pension correspondence
An important task you're legally required to complete is to provide employees with relevant correspondence relating to their status and rights. As you and your employees approach the staging date, each employee will receive various letters at different times during the automatic enrolment process.
The Pensions Module informs you what correspondence each employee requires and when they require it. You can then track what letters you sent out and when you sent them. You can also view previously sent letters and resend if required. Follow the steps to send pension correspondence.
Re-enrol your employees
Re-enrolment means every three years you must put certain employees back into an automatic enrolment pension scheme. Your duties vary depending on whether you have any employees who fall into a worker category that you must re-enrol. Refer to the article to find out what is pension re-enrolment?
