How to get your Government Gateway credentials for use within Sage Payroll.
Description
Before submitting any information to HMRC, you must register for a Government Gateway account. You then enrol for PAYE for Employers service.
If you already have an account, you should check it’s still active. If you’re not registered, or your status is inactive, HMRC will reject your submissions from Sage Payroll.
In Sage Payroll, you must then enter your:
- PAYE reference
- Accounts office
- Gateway User ID
- Gateway Password
You can the submit the following forms:

▼Register for an account with HMRC - Set up an account.
- Select Set up an account for HMRC online services.
Follow the on-screen prompts to create an account. If you have any issues with this process, check HMRC’s technical support page.
Once you’ve registered, HMRC will send you an activation code.
NOTE: This can take up to seven days and you must activate it within 28 days. If you don’t, you’ll need to register again.
Once you’ve activated your account, you can enter your details into Sage Payroll and submit online.
▼Check your account with HMRC - Visit www.gateway.gov.uk
- Enter your User ID and Password, then select Log in.
- Select Manage Services. Make sure you’re registered for the PAYE for Employers service.
- Check your tax office number and reference are correct and your status is active.
▼Enter your PAYE reference details into Sage Payroll To make submissions, first enter your PAYE reference and Accounts office into Payroll.
- Select Settings from the menu bar.
- Select Payroll Settings.
- Review or edit the following information:
PAYE reference | Your employer PAYE reference issued by HMRC when you register for PAYE for Employers. |
Accounts Office reference | This is your 13-character reference number supplied by HMRC. You can find it on your P30BC payslip booklet or P30B letter (paying PAYE electronically). |
HMRC reporting frequency | Choose whether you pay HMRC monthly or quarterly. If you’re unsure, contact HMRC’s payment enquiry helpline. |
HMRC payment method | Choose whether you pay HMRC by cheque or bank transfer. |
- Select Save.
▼Entering your Government Gateway Credentials in Sage Payroll This can be done in two areas in the program.
▼Settings - Select Settings from the menu bar and choose Payroll settings.
- Enter the User Id and Password.
- Select Store Password for future submissions.
- Select Save.
▼When processing your pay run - Process your pay run until the final CONFIRM screen.
- Select Complete Pay Run.
- Payroll asks for your Government Payroll Credentials. Enter the User Id and Password.
- Select Store Password for future submissions.
- Select Submit
NOTE: For security reasons, you can't view the saved details of your User ID and Password from within Sage Payroll. Use HMRC Online Services if you need to recover your account.
Ensure that the company details match in both your HMRC and Payroll services. This will help to avoid any Submission errors.
▼Change your existing gateway credentials within Sage Payroll There are two ways to change your Government Credential details within payroll.
When processing a pay run:
- Select Complete Pay Run. You see this screen.

- Select the green Change heading.
- Enter your User ID and Password.
- Select the Store Password for future submissions option.
- Select Submit.
Make the corrections within payroll:
- Select the Summary tab.
NOTE: On the left will be the failed FPS submission. - Select Resolve Issue.
- Select Change.
- Enter your User ID and Password.
- Select the Store Password for future submissions box.
- Select Re-Submit.
Your future submissions will use your new credentials.
