How to email payslips to employees in Sage Payroll.
Description
You can email your employees their payslips directly from Sage Payroll.
Send them in bulk or individually as a password-protected PDF document.
NOTE: The email sends from a generic Sage email address, not from your registered Sage email address.
This will save time and enable the employee to access their payslip at any time.
Resolution
You need to set up the employee's record to allow for emailed payslips. Then once you have run a pay run, you can email the payslips to them.
Set up the employee records
- Select the Employees tab and select the relevant employee.
- Check the employee has an email address entered in the Email address field. If not, select Change email address and enter one, then click Save.
- Select the Pay Document Preferences tab.
- Under Received by, select Email.
- Add a Password. The employee uses this to open their emailed payslip file. The field is mandatory.
NOTE: Passwords are a minimum of eight characters. Password must contain at least one special character, a lower case character, and a capital letter. - Select Save.
- Repeat the previous steps for each employee you want to send email payslips to.
Email payslips
- Process the pay run as normal until the Completed Pay Run window appears.
Alternatively, you can access this screen by selecting the Pay Runs tab and selecting the required pay run. - In the Employee Pay Breakdown section, do one of the following:
- Email an individual employee. Select the email option beside the employee’s name. Edit the email message if required. Select Send Email
- Email payslips to all your employees. Select Export All Payslips then Email Payslips. Edit the email message if required. Select Send Email
