How to change an employee's start date in Sage HR Online Services if it has been entered incorrectly.

Description

If you have set up an employee with the wrong start date, this can't be amended directly in Sage HR Online Services, instead, you have the following options to amend someone's start date.

  • Amend start date in Sage 50 Payroll then upload payslips
  • Use import template to import new start date
  • Terminate and delete the employee and set them up again

Amend start date via Sage 50 Payroll

  1. Log in to Sage 50 Payroll.
  2. Amend the employee's start date to the correct date.
These details update in Sage HR Online Services when you upload historical payslips or the next time you upload the employee's new payslips.

Re-import employee with the correct start date

You can use the import template to re-import the employee with their corrected details. Make sure the start date is correct, then when you import them the start date should have been updated.

If the options above don't work for you, you can remove the employee and set them up again with the correct start date.


Remove the employee and set them up again

If uploading payslips or using the import template doesn't work to amend the employee's start date, your final option is to terminate and delete the employee, then re-add them with the correct start date.

  1. Terminate the employee in Sage HR Online Services.
  2. Delete the employee in Sage HR Online Services.
  3. Make sure the start date is correct in Sage 50 Payroll.
  4. The employee is re-added with the new start date when you upload their next payslip.

NOTE: We recommend waiting until the next payslip rather than uploading historical payslips. this is because these historical payslips could have previously been uploaded under the wrong start date. If you can't wait till the next payslip to re-add them, you can upload a dummy payslip to add them, then delete the dummy payslip.
