How to replace missing or damaged reports or layouts in Sage 50 Accounts.

Description

If your reports or layouts are missing or damaged, you can restore them from a backup or download the Sage reports and layouts backup.

Layouts include invoices, statements, letters, labels, orders, remittances, cheques, and delivery notes.

 CAUTION: Back up your data files before restoring reports or layouts. You can then restore this later to retrieve your up-to-date data.

Before you start, back up your current reports and layouts.


Restore your reports or layouts only backup 

NOTE: If your backup also includes data files, these overwrite your current data. Make sure you take a current data only backup before restoring. You can then restore this after you restore your reports and layouts.

  1. On the menu bar, go to File then click Restore.
  2. Click Browse then browse to where you saved your backup and click Open.
  3. Click OK then click Yes.
  4. Click OK, enter your logon name and password, then click OK.

Download and restore a Sage reports or layouts backup

NOTE: Only follow the Take a copy of any existing custom reports section if you have customised any reports or layouts with their original file names. If you don't have any, or you saved them with a different file name, follow the Download and restore the backup section.

Take a copy of any existing custom reports

  1. Open the Sage Accounts company you want to restore the reports or layouts in to.
  2. Locate and select one of your customised reports or layouts. Make a note of the file name and the folder it's in.

    For example, if you're looking at the Aged Debtors Analysis (Detailed) report, make a note of Customer reports, Aged debtors, CSTAGED.

  3. Right-click the report or layout then click Show in Explorer.
  4. On the address bar, click the company folder. For example, Company.000.
  5. In the company folder, right-click the Reports folder then click Copy.
  6. Minimise this window then right-click your Windows desktop then click Paste.
  7. Repeat steps 5 and 6 for the Layouts, Letters, and Labels folders as required.

    TIP: If you're not sure of the file names for each of your customised reports or layouts, repeat step 2 to note each one.

  8. Minimise the explorer window as you need it later to copy your files back in.

 

Download and restore the backup

You can restore the backups from the below directory, replacing *your version* with the relevant version, for example 2023.

'C:\ProgramData\Sage\Accounts\*your version*\DataRestores'

  1. In Sage Accounts, take an all files backup.
  2. On the menu bar in Sage Accounts, click File then click Restore.
  3. Click Browse, then browse to the DataRestores folder in the location above.
  4. Click the backup file then click Open.
  5. Click OK then click Yes.
  6. Click OK, enter your logon name and password, then click OK.

You can now continue to use your reports and layouts as normal. If you have any customised reports, you can copy them back in.

Copy your custom reports or layouts back into Sage 50 Accounts

  1. On your Windows desktop, double-click the Reports folder.
  2. Browse to the report you made a note of in the first section.
  3. Right-click the report then select Copy.
  4. Open the explorer window you minimised in the first section.
  5. Double-click the Reports folder then browse to the required folder. For example, Customer then Aged Debtors Reports.
  6. Right-click then click Paste and then click Copy and Replace.
  7. Repeat these steps for any additional customised report or layout.
