When you set up Sage HR Online Services for your employees, they receive a welcome email to be able to log in to view their payslips 24/7. This means it's important to enter the correct email address when you set them up.
However, we know sometimes it's easy to make a typo, or perhaps an employee gets a new email address.
An employee can't amend the email address themselves, so this must be done by an admin user. Due to the email address being a locked field in Sage HR Online Services, this means it has to be amended through Sage 50cloud Payroll.
How you update the email address will depend on what version your Sage HR Online Services is. Don't worry, we'll take you through this step-by-step on how to quickly check your version, then how to change the email address once you know your version.
Before you start
Check you are using Sage HR Online Services
Check that your online service for payslips is Sage HR Online Services.
- Log in to Sage 50cloud Payroll, click Company.
- In the Tasks menu, it should say Online Services Settings.
Check which version of Sage HR Online Services you are using
How you update the email address will depend on what version your Online Services is. You will either be Version 1 or Version 2. If you don't know what version you are using, it's easy to check.
To find out your version - Click here >
- In Sage HR Online Services, click on your name in the top right, then click Settings.
- Click General on the settings menu.
- Scroll down to the bottom.
- Just below the Save button it tells you your Online Services version.
It will either say:
- ESS Version: 2
- ESS Version: 1
