Change an employee's email address - Online Bureau
Description

When you upload an employee to Online Bureau (known as Sage Employee Online Services to your client's employees) the employee's email address is set as their username, which they must enter to log in. You can't amend this in the portal, but you can change the employee's email address by working through the following steps.

  • Remove the services from the employee in Online Bureau
  • Delete the employee from Online Bureau
  • In Sage 50 Payroll, enter their new email address in the employee record
  • Upload historical payslips to re-add the employee under their new email address and they they can view previous payslips

When you upload the historical payslips, the employee receives an automatic welcome email to register for Sage Online Services using their new email address.

It's not possible to keep the employee's existing documents and payslips in the portal during this process. This is because you must fully delete the employee from the portal to be able to make this change.

To change the employee's email address, follow the steps below.


Step 1 - Delete employee from Online Bureau 

Your first step is to delete the employee from Online Bureau.

Step 2 - Enter the new email address in Sage 50 Payroll

You now need to enter the employee's new email address within their employee record in Sage 50 Payroll.

  1. Open Sage 50 Payroll, and double-click the relevant employee.
  2. In the Personal tab, enter the employee's new email address.
  3. Click the Analysis tab, and enter the employee's new email address.
  4. Click Save.

This will now be the email address the employee will use to log into Sage Employee Online Services after you re-add them to the service.


Step 3 - Upload historical payslips to re-add employee to Online Bureau

Re-add the employee to Online Bureau. You can do this by uploading their historical payslips.

Once the payslips are published the employee is automatically assigned to the Payslips service. The employee also receives a welcome email to the email address you entered earlier inviting them to your Sage Employee Online Services company.
