Before you move to Sage HR Online Services there are four tasks we recommend you complete for each company you have that is still on Sage Employee Online Services.
We'll run you through these tasks below.
NOTE:There is no cost involved in moving to Sage HR Online Services. If you have more questions about this move take a look at the answers in our Frequently Asked Questions and register for a free webinar where a Sage expert can answer your questions too.
Every employee listed in your current online payslips portal will be moved across to Sage HR Online Services and show as an active employee, regardless of whether they're marked as a leaver in Sage 50 Payroll.
Due to this, before the move we highly recommend you log into Sage Employee Online Services and delete any leavers that are still listed to avoid them appearing as active employees in your new portal.
NOTE: Any leavers you don't delete, you can remove them as active employees in Sage HR Online Services after the move. We recommend you delete as many as possible in Sage Employee Online Services to save you time having to remove them after the move.
Under Manage employees click WORK WITH YOUR EMPLOYEES.
On the relevant employee, click DELETE.
TIP: To delete multiple employees, select the checkbox next to their names, then click DELETE SELECTED.
TIP:If you're not sure which employees are leavers, you can cross check them with a list of employees on your Leavers report in Sage 50 Payroll. For steps on how to run this report, use our How to identify leavers guide.
You must check your employees' email addresses are correct, up to date, and have no duplication. This is what they will use to log in to Sage HR Online Services.
As soon as you move, your Sage ID (the email address you use to log into Online Document Settings) will become the main administrator. It's not possible to use the same email address as an employee record.
TIP: The email address used to start the move becomes the main administrator in Sage HR Online Services, which is the highest level of access. This can't be currently changed.
Need to change an email address?
If you've made these checks, and need to amend any email addresses for your employees or manager users, this is easy to do:
To change an employee's email address in Sage Employee Online Services? Follow these steps >
1. Delete the employee from Sage Employee Online Services
NOTE:the next two steps can only be completed if you can access your company in Sage 50 Payroll. If you already have your prompt to move, amend the employee record in Sage 50 Payroll after the migration, then upload their historical payslips to Sage HR Online Services.
2. Enter the new email address in Sage 50 Payroll
Open Sage 50 Payroll, double-click the relevant employee.
In thePersonal tab, enter the employee's new email address.
Click theAnalysistab, and enter the employee's new email address.
ClickSave.
3. Upload historical payslips
Click on Company then click Online Document Settings.
Next toUpload Historical Payslips, click Do It Now.
Enter the date range that you want to upload then clickcontinue.
Select the required employee then clickUpload.
ClickPublish Payslips.
ClickYou have (X) Payslips waiting to be Published.
Select the employee then click Publish Payslips.
Select to publish now or delay until a date.
Click Update Payslips.
The payslips are published and the employee will get a new welcome email asking them to register for Sage Employee Online Services using their new email address.
NOTE: After you move to Sage HR Online Services this welcome email will no longer be relevant for your employee. If the employee requires a new welcome email after the move you can resend them one from within Sage HR Online Services.
To change an email address of an Online Services manager user? Follow these steps >
Enter your existing Manager user Sage account (formerly Sage ID) and password, then click Sign In.
Click the Settings tab, then click Manage permissions.
Click Add User.
Enter the new email address under Sage account, then select Manager as the permission level.
Click SAVE.
You now have another Manager user. If this new manager user is to replace another one, log in with the new manager user credentials, return to the Manage permissions page, then next to the user you wish to remove, clickDelete.

You should let your employees know that the way they access their payslips is going to change. To help you do this, you have two options:

After this move you'll be able to access your payslips anytime, anywhere, with an easy to use mobile app. You'll still be able to access your payslips via a website if you wish.
We'll be in touch again soon to let you know when this move has happened, and provide you with more information.
In the meantime,please confirm with us which email address you want to be using to access your payslips. This will be the email address you use to log in to view your payslips.
Your historic payslips and P60s will be available in the new portal, but if you require any payslips for an immediate deadline e.g. you need to provide them for a mortgage or Universal Credit claim etc., we recommend todownload any payslips or P60s you need now.
In Sage Employee Online Services you can create a message to inform your employees about the upcoming move to a new online payslips platform. We recommend to mark this as important.
Below is an example of a message you could use:

Under Manage payslips you can see how many payslips are yet to be published.
If there are any, click X PAYSLIPS TO BE PUBLISHED.
Delete or publish any pending payslips.

If you want to download any documents from Sage Employee Online Services, you must do this before you move as you'll no longer have access to these once on Sage HR Online Services. This doesn't affect any documents you have stored in Sage 50 Payroll.
TIP:Before you start your move, we also recommend you check that your Sage 50 Payroll software has up-to-date license details. Use our handy tool to generate your software's correct current serial number and activation key.
I've got the prompt, but not done the preparation steps, what do I do?
If you haven't had the chance to do the preparation tasks, but your prompt has appeared, we advise you to do as much of the preparation tasks as you possibly can. It is possible to do these tasks outside of Sage 50 Payroll.
You won't be able to log in to your company until the migration has been done. If you urgently need to access your company, please follow the guidance in I haven't done the preparation steps yet.
Other common questions about preparation steps
Below we have some frequently asked questions about preparing to move.
Everyone you have listed in Sage Employee Online Services is moved across to Sage HR Online Services, so if you have any leavers still listed in your current portal, they'll appear as active employees in your new portal. You can remove them in Sage HR Online Services instead, but you may find it takes you less time to deal with your leavers before you move, rather than after.
Will leavers I delete be able to access their payslips?
No they won't, as they are no longer on Online Services. Their payslips will still exist in Sage 50 Payroll though, so if an ex-employee you delete ever gets in touch in the future regarding their payslips, you can provide them a payslip either by printing it or emailing it to them directly from your payroll software.
TIP:After you move to Sage HR Online Services, your future leavers can have access to their payslips up to 1 year after you terminate their profile.
I have someone who has just left, but they haven't received their last payslip yet, do I need to delete them too?
In this kind of scenario, it would be worth allowing the employee to move across to Sage HR Online Services. After the move, you can terminate their profile, and you can apply the setting that allows terminated employees access to their payslips up to 7 days, 30 days, or 1 year after their termination date.
I have a lot of leavers listed, I'm not sure I'll be able to delete them all before the move?
If you have a lot of leavers still listed in Sage Employee Online Services, we recommend you delete as many as you can. Any leavers you don't delete, you can terminate in Sage HR Online Services after the move. Just be aware that the leavers you didn't delete will show as active employees in Sage HR Online Services.
Will all payslips and P60s move across to Sage HR Online Services?
Yes, all payslips and P60s will appear in Sage HR Online Services. In the unlikely scenario that some are missing, you can easily just re-upload any historical payslips or P60s after the move.
