The Projects module
Description

The Projects module provides the features you need to maintain accurate details about projects, and helps you to track and evaluate the costs incurred. Let's take a look.

Cause
Resolution

Using the Projects module, you can enter and monitor all of the costs associated with a project. This means you know exactly how much it costs your business to complete a project, and how much to charge your customer to ensure that your business makes a profit. You can avoid costly overruns by tracking expenditure and you can also track non-profitable or in-house projects.

 NOTE: The projects module is only available in Sage 50 Accounts Professional. If you'd like to speak to someone about upgrading, leave your details and we'll be in touch.


To activate Projects

  1. On the menu bar click Settings, click Company Preferences and if prompted, enter your password.
  2. Click Parameters, click the Enable Project Costing check box then click OK.

Projects now appears as one of the modules listed on the navigation bar.

Below are the options available in the projects module.


New

Opens a blank project record, where you can:

  • Create a new project record.
  • Open an existing project account record to view or edit. To do this, from the Project drop-down list choose the required project record.

Edit 

Opens the selected project record to view or edit.

Wizard

For additional help with creating a project, you can click Wizard.

Duplicate

You can copy details to new project records using the duplicate option. This option is only active when the Projects window is set to Standard view and a project is selected.


Activity

You can use the project record's activity to quickly view all of the transactions associated with the selected project record.

Charges

Records a charge to the selected project. This only affects the project, and not the nominal codes.

Credits

Records a credit to the selected project. This only affects the project, and not the nominal codes.

Resources

Opens the Resources window, where you can add new resources for your projects. For example, you may set up regular contractors as a resource.

Enquiry

To help you track projects, you can use this option to analyse the actual costs against budgets for each project, cost type and cost code. To show a further breakdown, you can drill-down on any of the values.

Reports

Use this option to open your project Reports folders which include project cost reports, profit reports and day books reports.


Other options

  • Delete - Use this option to delete project codes that are no longer required
  • Swap Available when the view is set to Standard view. If you've selected some items, use this option to reverse the selection
  • Clear Available when the view is set to Standard view. If you've selected some items, use this option to clear the selections
  • Expand all - Available when the view is set to Structure by name or by reference. Use this option to expand all project structures to view all project codes
  • Collapse all - Available when the view is set to Structure by name or by reference. Use this option to collapse all project structures
  • Print list - Use this option to print the list of items in this window
  • Send to Excel - Use this option to export the list details to Excel
