NOTE: It isn't possible to delete Product Records that are inactive or have related stock levels. Before deleting records all users must log out.
View a Product Activity
- Click Products and services and select the product you want to check then click Activity.
- To view all of the transactions on the Product activity click OK.
To specify a date for the activity, enter the relevant information into the Activity Date Range window, you can also view the activity based on the transaction type, for example, adjustments in or goods in.
If there's no stock for the product, but there's an activity then the Product Record can't be deleted until the transactions are removed by running the Clear Stock option.
If there are no transactions on the activity, and all other checks have been completed, then the Product Record may be deleted. For further information about this, please refer to the section Delete a Product Record later in this article. - Click Close.
Check if a product is allocated or on order
NOTE: This section only applies if you're using the Sales orders or Purchase orders.
- Click Products and services and select the product you want to view then click New/edit.
- From the Status area, check that the Allocated and On Order boxes are zero.
If either the Allocated or On Order boxes aren't zero, you must either complete the sales order or purchase orders, or take cancel them:
- Click Close.
Repeat this process for any other product records that you want to check.
Check if a product is part of a BOM
Any product records that are part of a bill of materials, either as the main component or as a sub-component can't be deleted. To check if a product record is part of a bill of materials, check the link level in the BOM tab and then run the Reverse Product Explosion report. To remove product records from a BOM in the BOM tab on the product record, select the required product and press F8.
TIP:If you don't already have the Reverse Product Explosion report, it can be downloaded.
If the product doesn't appear on this report, but still shows a Link Level in the BOM tab, the product record is incorrect or corrupt.
To correct this:
- Click File then click Recovery Tools.
- Click Browse and choose a backup location then click OK.
- Click OK then click Recalculate Stock and click OK.
- Click Close and click Yes to check your data.
Delete a Product Record
- Click Tools then click Period End and click Delete stock.
- To see which products can be deleted click Start scan.
- Complete the Backup window as required then click OK and click OK.
- Select the records you want to delete then click OK and click Yes,
- Click OK then click Close.
Reasons why a product won't delete
Products must meet certain criteria before they can be deleted:
Items still in stock | If there are items still in stock, the product record can't be deleted until the balance is adjusted out, and the transactions are deleted by running the clear stock option. |
Product codes still have transactions on the activity | If there are transactions associated with the product record, it can't be deleted until the transactions are removed by running the clear stock option. |
Product codes are possible sub-component(s) | Any product records that are part of a bill of materials, either as the main component or as a sub-component can't be deleted. To check if this product record is part of a bill of materials, check the link level in the BOM tab and then run the Reverse Product Explosion report. To remove product records from a BOM in the BOM tab on the product record, select the required product and press F8. |
Compress your product data files
CAUTION: You must take at least one backup of your data files prior to running this procedure.
- Click File then click Maintenance and click Compress Data.
- Clear the Ccompress all Data Files check box.
- From the list of Data files, clear those that you don't want to compress, for example, to compress the Product files, clear all the check boxes except Products.
- Click Compress then click Close and click Close.
