Edit products, services and stock

How to update your products, services and stock records in Sage Accounting.

It's easy to update the details of your individual products and services

1. From Products & Services, select the relevant item from the list.
2. Select Edit.
3. Amend as required.
4. Select Save.

 NOTE: You're not able to edit the stock type if you've already processed a transaction on the product or service. If there are no transactions associated with the product or service, this is editable.

Apply destination VAT to relevant services

You can add One Stop Shop (OSS) Services to report destination VAT.

1. From Products & Services, select the relevant service item from the list.
2. Select OSS Services.
3. Select Save.

Update existing products and services

You can update existing item records from a spreadsheet (CSV file).

To make sure we can identify and update existing records, we use a unique ID. To include this ID in your spreadsheet, you must export all your records first, then update the exported spreadsheet and re-import it.

This is to make sure that you avoid creating duplicates. When the Uniqiue ID column is blank, we create a new record.

1. Export all your product and service records to a spreadsheet following the steps above.
2. Open the exported file and make your required changes and then save your file.
    TIP: To add a new record, create a new row leaving the Unique ID field blank. 
3. From the navigation bar select Products and Services.
4. Select Update items from the New item drop down.
5. Drag and drop your updated file, or select Choose, then select Upload file.
6. Choose how to handle empty cells in your CSV file then Continue.

Delete a product or service

You can delete unwanted items from your list so long as they're not used on an invoice.

You can't delete products and services you have included on an invoice. For products and services that you no longer buy or sell, make the records Inactive instead. This prevents them from getting added to invoices in future.

1. From Products & Services, select the check box against items you want to delete.
2. Select the Delete button, and select Yes to confirm.

Add categories to stock, non-stock and service records

1. From Products & Services, select the relevant item from the list.
2. Select Edit.
3. Select the category. Learn how to create a category.
4. Select Save.

Make individual products or services inactive

You can't delete products and services you've included on an invoice. For products and services that you no longer buy or sell, make the records Inactive instead.

Once inactive, you’re unable to add these to future dated invoices. 

We keep all records of previous activity for the product or service, even after it is Inactive.

You can select Active at any time to start using them again.

Make a record inactive or active

1. From Products & Services, select the relevant item from the list.
2. Select Edit.
3. From Item information, select the Inactive or Active check box as needed.
4. Select Save.
