Recording your sales in Sage 50 Accounts can be as detailed or as simple as you want. Understanding the options available will help you to avoid time-consuming changes later.
The options are recording the sale as a receipt to your bank, through to processing quotes and sales orders and updating stock.
The five options range from entering a sales transaction to raising a quotation and sales order.
If you don't want to create customer records, record your sales by posting a bank, cash or visa receipt. For example, you can post a receipt to record the cheques and cash received that day. This increases your bank account balance, records the sale against your chosen nominal code and, if you're VAT registered, updates your VAT nominal codes.
To enter a bank receipt:

If you record your takings through a till, use the Cash Register feature to track these until they're deposited at the bank. At the end of each day, enter your takings and, if necessary, record any discrepancies. When you pay in to the bank, you can update your accounts with the Deposit Cash option.
If you don't want to use the Cash Register, but still want to record sales manually, create a new bank account to post cash transactions. You can post takings as receipts and any purchases from cash as payments. When you need to deposit money at the bank, you can then record this with a bank transfer.
If you want to post sales transactions to individual customer accounts without needing to print or email any documents. This gives you the opportunity to look at outstanding sales invoices and identify your best customers. You can do this using batch invoices and receipts.
Entering batch invoices records sales which remain outstanding until you receive payment from your customer or enter a credit against the invoice.

If you've entered a batch credit for a customer, you need to match it against the relevant outstanding invoice.

You can use the Invoicing module to print or email invoices and credit notes from Sage 50 Accounts. If you then choose to update the invoices, your customer records and product records update automatically.
NOTE: With Opayo (formerly Sage Pay) Invoice Payments you can include a Pay Now button on your emailed invoices, this encourages faster payments. When a customer receives your invoice, they can click Pay Now and pay you instantly online.
To save you time, you can set up defaults that automatically apply to all new invoices. You can still edit or amend these entries on an invoice by invoice basis.
To set up defaults for your invoices:
In Sage 50 Accounts Professional, you can use the Sales Order Processing (SOP) module to create and print sales orders for your customers. These orders can then be updated to adjust your stock levels and to produce printed invoices.
To save you time, you can set up defaults that automatically apply to all new orders. You can still edit or amend these entries on an order by order basis.
To set up defaults for your orders:
Many businesses offer quotes or estimates for work to their customers. In Sage 50 Accounts you can create and manage your quotes and mark them as open, won, lost or expired. If your quote is successful, you can save time by updating it to become an invoice or order without re-entering the details.
You can choose whether you want your successful quotes to convert into invoices or sales orders.
