How to fix Goods Despatched Notes (GDN) corruption

How to resolve GDN corruption in Sage 50 Accounts.

Description

There may be instances where you suspect there is corruption within the Goods Despatched Notes.

Always run Check Data first in File then Maintenance. If there are any errors, warnings or comments in the data, please follow https://my.sage.co.uk/support/my-data.aspx

If there are no errors, warnings or comments in the data there can be corruption in the modules. This corruption can present itself in one of the following ways:

  • When you print a GDN, the wrong information prints
  • Random characters appear when viewing GDN's
  • Sage Accounts hangs when you try to compress Goods Notes

Resolution

 NOTE: To resolve this issue with the rebuild option, you'll need to be using Sage 50 Accounts v31 or above. Click here to download the latest version.

Check the software version and install all required updates.

To check your software version open the Help menu and choose About.

For a list of versions and the required updates, please refer to www.sage.co.uk/accountsupdates

Once your software is up to date, click Next.


Reindex and compress the Goods Despatched Notes

  1. Before you reindex your data, take a backup of your data.
  2. Click Help then click About and under Data Information make a note of the number of Splits.
  3. On the menu bar click File then click Maintenance then click Reindex.
  4. Select the ReIndex Goods Despatched Notes check box, select OK then select Yes.
  5. Select Compress Now and clear the Compress All Data Files check box.
  6. Clear all of the remaining check boxes apart from Goods Despatched Notes, then select Compress.
  7. Select OK, then Close, then Close.

Create a new set of data files for the Goods Despatched Notes

NOTE: Creating a new set of GDN data files will completely remove ALL GDN's that are currently in the data. 

  1. Go to Help then About and make a note of the Data Directory in the Program Details section.
  2. Close sage 50 Accounts.
  3. In Windows Explorer browse to the data directory then double-click the Accdata folder.
  4. Go to Tools, then Folder Options, then the View tab.
  5. Ensure that the Hide extensions for known file types check box is clear, then click OK.
  6. Locate and right-click GDNDATA.DTA, select Delete, then Yes to confirm.
  7. Locate and right-click GDNINDEX.DTA, select Delete, then Yes to confirm.
  8. Go to File, then New, then Text Document.
  9. The New Text Document.txt file appears at the bottom of the list, change the file name to GDNDATA.DTA
  10. Go to File, then New, then Text Document.
  11. The New Text Document.txt file appears at the bottom of the list, change the file name to GDNINDEX.DTA
  12. Open Sage Accounts then repeat steps above to reindex and compress Goods Despatched Notes.
