Processing HMRC notices
Description

Once you enable HMRC notices, Payroll will automatically check for any new tax code notices each day. You can also force Payroll to check for new notices at any time.

Payroll displays the details of any P6 or P9 notice and allows you to apply them to the employees.

You can also view the history of any notices and the actions taken.

How to process

Select HMRC notices from the menu bar. Here you’ll see any new notices. You can also select Check for new notices at any time. 

Select View details for a full breakdown of the information.

 NOTE: If an employee shows as Not matched, the NI number and Name aren’t correct in an employees' record. Once identified, you must add the P6 pr P9 details manually. 

To Action

  1. Select HMRC notices from the menu bar.
  2. For each employee, under Actions, select either Apply notices, Discard notices, or No action as required.
  3. Select Save.

The system shows a confirmation message along the top of the screen and moves the details to the History tab.

Different scenarios 

The effective date falls within a period already processed. - Payroll applies it in the next period. This doesn't cause a problem as the tax will recalculate correctly.

The effective date falls within a future period - Payroll will retain this information and only apply the change when relevant.

The notice is for a leaver or a prior tax year - Applying the notice will automatically discard the notice as it is no longer relevant.

How this effects the employee record

The Employee record will show the new tax code or a message explaining there are pending/future dated tax code changes. This is displayed in a banner along the top of the window.

When you apply a P6, the system locks the to-date figures and displays a status message.

Pay run

When you select Process pay run, any unactioned HRMC notices will generate a warning message. Choose the relevant option.

History tab

You’ll see the same information as in the New tab, with the addition of a Status column. This shows an Applied or Discarded date.

If you discard a notice in error, manually apply it in the employee record.
