Recording Shared Parental Pay (ShPP)
Description

To record ShPP for an employee, you must first select the original parental leave. This will be Maternity, Paternity (Birth), Paternity (Adoption) or Adoption. You do this when processing your pay run. This checks the entitlement of the employee to Shared Parental Leave (SPL) and ShPP. If they qualify another option then appears.

  1. Go to Pay Runs, then select Process Pay Run.
  2. Check the pay date is correct, then select Next.
  3. Select the relevant employee. Select Add Absences and select the relevant absence option. For example, Maternity.
  4. Enter the declaration details and leave dates, then select Save.
  5. Select Next, then select Add Shared Parental Leave.
  6. Enter the following information:
Declaration ReceivedSelect Yes or No. For further information on the declaration needed, please visit www.gov.uk.
SPL Weeks AvailableEnter the total number of SPL weeks that your employee intends to take to care for their child. This can be up to 50 weeks.

For example, if the mother takes 22 weeks of statutory maternity leave, this will leave 30 weeks of SPL. They can split the 30 weeks between both parents. You should only enter the amount of leave that your employee wants to use.
Paid Weeks AvailableEnter the total number of paid weeks that your employee intends to take to care for their child. This can be up to 37 weeks.

For example, if the mother takes 22 weeks of statutory maternity leave, this will leave 17 weeks of shared parental pay. They can split this between both parents. You should only enter the amount of paid leave that your employee wants to use.
Partner’s ForenameEnter the partner’s forename.
Partner’s SurnameEnter the partner’s surname.
Start DateEnter the date the block of leave starts.
End DateEnter the date the block of leave ends.
  1. Select Save.
The SPL shows separately and an option to add SPLIT days appears.

  1. If your employee is working any SPLIT days, select Add SPLIT days. Enter the start and end dates.
  2. Select Save.

The SPLIT days show separately.

  1. Select Next.

ShPP calculates and pays if the employee meets the criteria. Payroll does this for you.

  1. Enter the payments for your other employees, then selectNext.
  2. Select Complete Pay Run. To submit your FPS, select Confirm.

 TIP: Payroll calculates ShPP and SPL in whole weeks only, from the leave start date. For example, the leave starts on Wednesday. The week would be Wednesday to the following Tuesday. 

Override AWE

Sometimes, there's no history to calculate the Average Weekly Earnings (AWE). If you have moved to a new payroll system recently, for example.

You will have to calculate the AWE yourself and override the system-calculated figure.

Employees get the following payments based on 100% of their normal average earnings:

  • Maternity Pay
  • Paternity Pay
  • Shared Parental Pay
  • Parental Bereavement Pay
  • Adoption Pay

To adjust the figure

  1. Create and save the statutory payment as normal.
  2. From the absence page, select the absence you want to edit.
  3. Select the Override AWE check box.
  4. Enter the correct AWE figure and Save.
