Step 1 - Terminate the employee in Sage HR Online ServicesAs you need to delete the employee in Sage HR Online Services, to do this you first need to terminate them. Click here to view steps >
- Log in to Sage HR Online Services as an admin.
- Go to the employee's profile and scroll to the bottom of the page, click Terminate.
- Fill out the termination details.
It doesn't matter what you enter for this process, as you will be deleting the employee profile anyway.
- Click Terminate again.
When an employee is terminated, the Terminated employees report appears.
This is where you delete the employee, explained in the next step.
Step 2 - Delete the employee in Sage HR Online ServicesOnce an employee is terminated, you can delete their profile from Sage HR Online Services. NOTE: This doesn't delete the employee in Sage 50 Payroll. Click here to view steps >
- When on the terminated employee report, click on the delete button next to the terminated employee.
You can get back to this report via Reports > Employee data > Terminated employees.
- Click, Yes, go ahead to confirm you want to delete them.
Now you can now re-add the employee.
Step 3 - Upload their current payslipYou upload the employee's current payslip to recreate the employee's profile in Sage HR Online Services. TIP: If a current payslip isn't available to upload, don't upload a historical payslip to re-add the employee. Instead, upload a 'dummy' payslip, then delete it.
Next stepsYour employees have now been re-added to Sage HR Online Services. There are now some other steps you may want to do so these re-added fully set up in Sage HR Online Services.
Upload employee's previous payslips Upload the employee's historical payslips so they can see their previous payslips like they could before.
Upload employee's previous P60sIf your employee has P60s for previous tax years that they may want to access, you can upload these again for them. To do this just follow the usual steps for uploading P60s, but set the required tax year. For example, to upload a P60 for 2020/2021 you must set the process date to 05/04/2021, select the tax year 2020/2021 and check the Reports date is 05/04/2021.
Add additional employee informationWhen you add an employee by uploading payslips the only information imported across from Sage 50 Payroll is: - First name
- Last name
- Start date
- Email address
You can either add additional information to their profile manually, or you can export information from Sage 50 Payroll into Excel and import it into Sage HR Online Services.
Using the Sage HR modules?If you use the Sage HR modules, such as Core HR, Leave Management, Timesheets, etc. You can do other setup tasks such as assign the employees to an employment status, working pattern, time off policies, and re-enter their time off history, etc. For further help with any of this visit the Sage HR knowledgebase or start a chat with the Sage HR support team. |
