Sage 200 Report Designer - Drilldown / hyperlink functionality
Description

A drill down is a link from a report that opens a web page, email, Internet download or another report, layout, letter or label.

You can add a drill down to any of the following objects:

  • Fixed text objects
  • Variable objects
  • Expression objects
  • Image objects
  • Lines and Boxes

This article explains how to use the Drill Down option in Report Designer and is a guide for Business Partners. If you are not a Business Partner, we recommend reaching out to your Partner for support if required.

These are the basic steps that explain how to add drill down properties to objects on your document. They include:

NOTE: Quick steps provide the minimum amount of information you need. For further information, please refer to the Detailed steps tab.

This article assumes that you have located the report or layout that you want to amend and opened it in Sage Report Designer. If you need further help with this, please click here.

Set the Drill Down properties

NOTE: Depending on the version of your software, the Drill Down option may not be available on all object types.

  1. Report Designer > select the object you want to drill down > Properties > Drill Down > click the finder button .
  2. From the drop-down list choose from the following options:
    • None - No drill down specified.
    • Open a report - Choose this if you want to drill down to a report.
    • Open a web page - Choose this option if you want to drill down to a web page or an email address.
  3. Settings tab > enter the drill down options as required. For further information, please refer to the Detailed steps tab.
  4. If required, to define additional values to be passed to the drill down target, click the Advanced tab > enter settings as required.

    NOTE: The Advanced tab is used to define additional values that can be passed to the drill down target. For example, you can define a drill down target as a web page, and can also pass a customer account reference to that web page so that the customers account details can be displayed. For further information about the Advanced tab, please refer to the Detailed steps tab.

  5. Click OK.
Advanced Drill Down properties

For further information about the Advanced Drill Down properties, please refer to the Detailed steps tab.

  1. Drill Down window > click the Advanced tab > box at the bottom of the window > enter the name of the criteria to be passed to the drill down target > click Add.

    NOTE: The name must be the exact name of the criteria variable as it appears on both the original and target reports.

  2. Fields pane > select the additional value to be passed to the drill down target, for example, SLCustomerAccounts.CustomerAccountNumber > click and drag the variable into the left-hand pane > click OK.
  3. Repeat for each additional value you want to pass to the drill to target > click OK.
Save the changes to your document
  1. Report menu > Report Properties > Report Name > enter a new name for the document > Report Description > enter a new description for the document > OK.

    NOTE: Report Designer v1.3 and below - Report Explorer pane > select the document name > Properties pane > Name > enter a new name for the document > Enter.

    TIP: You can check your Report Designer version in Help > About > Application > File Version.

  2. File > Save As > File name > enter a new file name for the document > browse to the required location for your document > Save.
  3. File > Exit.
Detailed steps

The following detailed steps contain everything you need to help you to add drill down properties to objects on your document.

This article assumes that you have located the report or layout that you want to amend and opened it in Sage Report Designer. If you need further help with this, please click here.

NOTE: If any of the panes mentioned in this section are not visible, open the View menu and select the required pane. If the pane doesn't appear, you can reset the Report Designer view to its default. For further information about this, please click here.

Set the Drill Down properties

NOTE: Depending on the version of your software, the Drill Down option may not be available on all object types.

  1. Within Sage Report Designer, select the object you want to drill down, from the Properties pane select Drill Down then click the finder button .
  2. In the Drill Down window, from the drop-down list choose from the following options:
    • None - No drill down specified
    • Open a report - Choose this if you want to drill down to a report
    • Open a web page - Choose this option if you want to drill down to a web page or an email address
  3. Depending on the option selected in the previous step the Settings tab displays the following options:

    Open a report

    Open a fixed report file

    Use this option to drill down to an existing report.

    To add the path to the Settings tab, click the Browse button and browse to the required report > select the report > click Open.

    Open the report file defined by the expressionUse this option to create an expression to identify the report to be opened. Using this option you can drill to different reports depending on the information entered, for example on a customer report you could drill to a report specific to that customer's department.

    NOTE: In order to use this option your report file names must be consistent, and must contain the identifying information from the variable you use as part of your expression. For example, if you expression identifies the report based on department number, the department number must be part of the file name.

    Open a web page

    Go to a fixed web address

    Select this option to drill down to a fixed web page, then in the text box, enter the URL, for example, http://www.sage.com

    TIP: You can also use this option to enter a fixed email address as a link. When entering the email address, add mailto: at the beginning, for example, mailto:[email protected].

    Go to a web address taken from the report data

    Select this option to drill down to a value from the report data.

    Click Edit > the Expression containing URL to launch window appears > from the list of tables and variables in the Fields pane, locate the variable you require, for example, SLCustomerAccounts.ContactEmailAddress > click and drag the variable to the left-hand pane > click OK.

    TIP: You can also use this option to enter an email address from the report data as a link. Enter the email address using the format "mailto:"+ Table.Variable, for example, "mailto:"+ SYSCompanyLocations.EmailAddress

  4. To define additional values to be passed to the drill down target, click the Advanced tab.

    NOTE: The Advanced tab is used to define additional values that can be passed to the drill down target. For example, you can define a drill down target as a web page, and can also pass a customer account reference to the web page so that the customer account details can be dispalyed. For further information about the Advanced tab, please refer to the following section The Advanced Drill Down properties.

  5. To confirm the drill down properties, click OK.

You have now added a drill down to your report and should make any further changes you require to your report and then save your changes. For further information about how to save the amended document, please refer to the section To save the changes to your document later in this article.

NOTE: To activate the drill down, click the relevant item in the preview. If the drill down is linked to another report the Criteria window may appear.

Advanced Drill Down properties

Using the Advanced tab you can set the drill down to send criteria from the current report to the destination report. For this to work, the criteria used must be preset or enabled on both reports.

For example, if customer reference and transaction date criteria is enabled on the destination report and the current report, you can send this criteria information when you drill down from the current report, ensuring both reports pick up the same range of information.

TIP: To ensure both reports contain the same criteria, edit each report within Sage Report Designer, open the Data menu and choose Criteria. Note the preset and enabled criteria available for both reports.


Enter advanced drill down properties

  1. From the Drill Down window, click the Advanced tab, in the box at the bottom of the window, enter the name of the criteria to be passed to the drill down target, for example CRITERIA.CustomerAccountNumber_FROM, then click Add.

    NOTE: The name must be the exact name of the criteria variable as it appears on both the original and target reports.

  2. In the Fields pane, from the list of available tables and variables in the Fields pane, select the additional value to be passed to the drill down target, for example, SLCustomerAccounts.CustomerAccountNumber then click and drag the variable into the left-hand pane.
  3. To confirm the additional value, click OK.

    The Drill Down window appears, displaying the expression for the additional value.

  4. Repeat the above steps for each additional value you want to pass to the drill to target, then to accept the drill down details, click OK.

You have now entered Advanced drill down properties and should make any further amends you require to the document and save your changes. For further information about how to save the amended document, please refer to the following section.

Save the changes to your document

TIP: You can check your Report Designer version in Help > About > Application > File Version.

  1. To save your changes, you must change the name and description of your document. To do this, open the Report menu, choose Report Properties, enter a new name and description for the document then click OK.

    Report Designer v1.3 and below - To save your changes, you must change the name of your document. To do this, from the Report Explorer pane, select the document name. From the Properties pane, in the Name box, enter your preferred description for the document then press Enter.
  2. To save the changes, open the File menu and choose Save As. From the Save As window, in the File name box, enter a file name for your amended document. If required, browse to the required location for your document then click Save. For further information about where to save your document, please click here.
  3. To close Sage Report Designer, open the File menu and choose Exit.

You have now saved your amended document.

TIP: If you have any difficulty finding a recently saved document, you can open it from the Report Designer Recent files list and save it to the required location. To open a recently viewed report, from Sage 200 Professional 2015 go to Tools (top right screen cog icon) > run Sage Report Designer (for Sage 200 Professional 2011 and 2013 access Report Designer from the left menu), then from the Recent Files list, click your required report.
