Introduction

Sage 200 Professional 2013 introduced changes to company specific reporting. By default, your reports are saved in the C:\Sage\reporting folder in three levels. If you are unsure of the location of your 'Sage share', please speak to the person that manages your IT services.

  • Company - This folder holds reports and documents that you have customised for a specific company. Structure = company/*name of company*/reports
  • Custom - This folder is for report and documents that have been customised and are used by all Sage 200 companies set up within System Administration.
  • Default - This folder contains the standard reports and documents provided by Sage 200. The files held here should not be changed. When a report is run, the company specific versions are checked first, then the custom versions and finally the default versions. The first version found will be the report or layout that is used. Part of this process involves pointing to the new report therefore you need to know the location of the file before continuing. If you already know the location of your report, please proceed to the next section. Otherwise, determine from the above where you would like to store your custom report or layout and then follow the steps below.

Using Sage Report Designer you can rename and save a custom copy of any sage report.

Steps

The following steps contain everything you need to help you rename and save a new report.

Open Sage Report Designer
  1. Click on the cog at the top right of your Sage 200 program and select the 'Run Sage Report Designer' option from the list that appears. Alternately If you are using Sage 200 Professional 2010 service pack 3 or above, click on Report Designer in your stack bar down the right and then click Report Designer


  2. This will open Report Designer. To choose a report click on one of the folders on the left hand side, choosing default will give you access to all of the standard reports / layouts / labels / letters and templates that come with Sage 200. For this example if you choose Default > Reports > Sales and double click on the report named Sales Ledger Account Details.

  3. Once in the Report Designer you can change the name and description using three methods

    • Method 1 - Click on the dynamic help on the left hand side of the report and choose 'Set the report name or description'. Then give the report a new name and description in the available boxes.

    • Method 2 - Click on report at the top and choose report properties.

    • Method 3 - Click on the properties on the right and side and click on the text , delete it and replace with your chosen name and description.

  4. Once you have change the name and description you will be able to save the report.
  5. To do this click on the file option at the top left of the Report Designer and choose 'Save As'.
  6. This will then show you the standard location to save the report.

  7. Browse to the relevant folder, give the report a file name and then click save
  8. You have now successfully renamed and saved the report
