Transactions missing from Transactions window
Description

Transactions can appear as missing for a few reasons.

Resolution

If a transaction appears to be missing from the Transactions or Financials window, check the following:

Re-sort into account reference order

By default, the Transactions window is sorted by the 'No' column, however you can sort it by any of the columns.

A small triangle in the column heading indicates the window is sorted by that column. If the triangle points down, the column sorts in ascending order. If the triangle points up, the column sorts in descending order. 

  1. To re-sort, press the first column heading, No.
  2. If the list is already sorted by the first column, press a different column heading.
  3. To refresh the sort, press the first column heading again.

TIP:

If you're using v29 or above, you can use the Refresh button to update the window.


Check no search is applied

  1. Above the first column, check the Apply or remove last used filter option

Search applied on transaction window shows filter icon with a bin on it.

A bin symbol indicates there's a search applied so some transactions are hidden from view. You'll also see the number of records displayed.
  1. To remove the search, press the filter option.

TIP:

Use the Find option to try to locate the transaction.


Check if the Clear Audit Trail has been run

The Clear Audit Trail option removes fully paid and reconciled transactions from the audit trail up to a specified date. If transactions are missing from the Transactions window, this process could have removed them.

To check if the Clear Audit Trail has been run:

  1. Go to Help then About.
  2. In the Configuration Information section, check the Clear Audit Trail Date.
  • If the date is blank, it means that the Clear Audit Trail hasn't been ran
  • If the transaction is dated before the displayed date, and it's fully paid and reconciled, the software has removed it from the audit trail

Check if a backup has been restored

If you’ve restored a backup that doesn't include these transactions, they’ll be missing.

You can check when you last restored a backup:

  1. Go to Help then About.
  2. In the Configuration Information section, check the Last Restore Date.

Check for data corruption

Transactions can be missing due to data corruption.

To check your data for corruption:

  1. Go to File, select Maintenance, then select Check Data.
