Configuration Editor - Custom Fields tab
Description

Custom fields can be used to record information of interest about a record or order, which you can then analyse using the search option or when generating reports. This can be handy when trying to differentiate between different types of customers, suppliers, or orders.

By default these labels say Analysis1, Analysis2 and Analysis3, but you can amend these labels to say something else, for example Sales Agent or Region.

To access configuration editor to change your custom fields labels.

  1. Click Settings.
  2. Click Configuration.
  3. Click the Custom Fields tab.

TIP: You can also amend Products Custom Fields in the Products tab of Configuration Editor and Project Custom Fields in the Project Costing tab of Configuration Editor.

You can then amend Analysis and/or Email fields in the following areas:


Customer Record

Analysis fields

The default labels for the custom fields are Analysis1, Analysis2 and Analysis3 however you can amend these as required. These appear on the Defaults tab of each Customer Record. 

EXAMPLE: If you want to use Analysis1 to represent the region the customer is based in, you can enter Region here. This label will then show as Region instead Analysis1 on all customer records.

Email Fields

The default labels for the custom fields are Email1, Email2 and Email3 however you can amend these as required. These appear on the Details tab of each Customer Record.


Supplier Record

Analysis fields

The default labels for the custom fields are Analysis1, Analysis2 and Analysis3 however you can amend these as required. These appear on the Defaults tab of each Supplier Record. 

EXAMPLE: If you want to use Analysis1 to represent a sales agent, you can enter Agent Name here. This label will then show as Agent Name instead Analysis1 on all supplier records.

Email Fields

The default labels for the custom fields are Email1, Email2 and Email3 however you can amend these as required. These appear on the Details tab of each Supplier Record.


Quotations / Sales Orders / Invoices 

Analysis fields

The default labels for the custom fields are Analysis1, Analysis2 and Analysis3 however you can amend these as required. These appear on the Order tab of each quotation, sales invoice, sales order.

EXAMPLE: If you want to use Analysis1 to represent a sales agent who dealt with the order, you can enter Agent Name here. This label will then show as Agent Name instead Analysis1 on all quotations, sales orders, and invoices


Purchase Orders

Analysis fields

The default labels for the custom fields are Analysis1, Analysis2 and Analysis3 however you can amend these as required. These appear on the Order tab of each purchase order.

EXAMPLE: If you want to use Analysis1 to represent a sales agent, you can enter Agent Name here. This label will then show as Agent Name instead Analysis1 on all purchase orders.


Departments

The default label is Department. To rename the department option within Sage 50 Accounts, enter the new description here.

NOTE: This option does not rename departments in column-based windows, or on the Criteria window when running a departmental report.

On v27, to save any changes you must click OK. To close without saving any changes click Cancel.

On v26 and below, to apply these changes to the current set of data, you must click Apply before you click Close

TIP: In v26 and below click Save or Save As to create a configuration file to use on other accounts data sets.
