Give your accountant or bookkeeper remote access to your data

How to create a user for your accountant or bookkeeper and grant them remote access to your Sage 50 Accounts company data.

Preparation

Before following the steps below, to make the company available remotely, you must first set up Remote Data Access.


Create a new accountant or bookkeeper with remote access

 NOTE: If your accountant or bookkeeper already has their own user name in your company, follow the Add Remote Data Access to an existing user section.

  1. Log into Sage 50 Accounts as manager
  2. Click Settings, click User Management then click Users.
  3. If a Sage 50 User mappings window appears, click Skip.
  4. Click New then click Accountant or Bookkeeper and click Continue.  
  5. In the User Profile window, enter the following information:

    Create a user name

    Each person using the software must have a user name. 

     

    The name can use upper or lower case characters, spaces and numbers.

    Require password change at next login

    Select this option if you want your accountant or bookkeeper to change their password the next time they log in to this company.

    Create Password / Confirm Password

    Enter and confirm a password for the user. 

     

     TIP: Individual users can manage their own password from Settings > User Management > Change Your Password. If they forget their password, the manager or administrator user can reset it. Go to Settings > User Management > Users > select the required user > Edit > Profile.

  6. Click Continue then to specify which areas your accountant or bookkeeper can access, select or clear the checkboxes as required, then click Continue.
  7. To grant remote access, click the Allow Remote Data Access checkbox, enter the following user details then click Continue.
    First Name

    Enter the accountant or bookkeepers first name.

    Last Name

    Enter the accountant or bookkeepers last name.

    Email Address

    Enter the accountant or bookkeepers email address. They’ll receive an email invitation to access this company remotely.

    This Accountant or Bookkeeper can create and manage other Accountant or Bookkeeper user types.

    If your Accountant or Bookkeeper employs other staff, to allow them to create and manage user names for those users, including allowing remote access, select this checkbox. 

     

     

     

    Users they manage can't have higher permissions than their own user record.

    NOTE: If you haven't previously uploaded your data to Remote Data Access for this company, you're prompted to enter a passphrase. 
  8. Check the User Summary, click Save then click Close.
    NOTE:  If prompted to log in with your Sage ID, follow the on-screen prompts.
    The user is sent an email inviting them to access the company remotely.

Add Remote Data Access for an existing accountant or bookkeeper user

  1. Log into Sage 50 Accounts as manager
  2. Click Settings then click User Management and click Users.
  3. Select your accountant or bookkeeper's user name then click Edit.
  4. Click Remote Data Access then click the Allow Remote Data Access checkbox.
  5. Enter the following user details then click Continue.
    First Name

    Enter your accountant or bookkeeper's first name.

    Last Name

    Enter your accountant or bookkeeper's last name.

    Email Address

    Enter your accountant or bookkeeper's email address. They’ll receive an email invitation to remotely access this company.

    This Accountant or Bookkeeper can create and manage other Accountant or Bookkeeper user types.

    If your accountant employs other staff, to allow them to create and manage user names for those users, including remote access, select this checkbox. 

     

     

     

    Users they manage can't have higher permissions than their own user record.

     NOTE: If you haven't previously set up Remote Data Access for this company, a prompt asks you to enter a passphrase. Give this to your accountant or bookkeeper so they can access the data. 
  6. Check the User Summary and click Save then click Close.
     NOTE: If prompted to log in with your Sage ID, follow the on-screen prompts.
    Your accountant or bookkeeper is sent an email inviting them to access the company remotely.
