Search results are not as expected

Summary

When you perform a search, the results may not be as expected and may not return anything at all.

Cause

This happens if you have previously applied a filter then clicked the option spyglass to show all records before applying a search.

Resolution

How the search and filter work

EXAMPLE: You want to show all customers where the telephone number begins with 0191 but you currently have a search applied to your Customers module that only shows accounts with a balance of more than £/€5,000.

You click the option spyglass to show all records then apply a search for 0191.

The search results only include customers with 0191 whose balance is greater than £/€5,000. Because you clicked the option spyglass to show all records, you should see all records with 0191 in them.


 


This is the way the search options are designed to work.

When a filter is set up using the Filter button, it can be switched on and off by toggling the option spyglass to spyglass or vice versa. Switching the search off does not delete the search, only the Clear form option would do this.

When you apply a search it is added to the existing filter and both are applied. If the search is subsequently cleared, the main search is unaffected.


Clear the filter option

If you want a search alone to apply to the data, you must discard any filter before applying your search.

  • Click Filter and click Clear form then click Apply and click Close

Reset the quick search

  1. To reset the quick search, enter some text in the search box at the top of the list and click the magnify glass.

  2. Then to clear the search, click the bin Image

     icon.

 NOTE: In v28 and below you'll need to click the Image icon.


Turn ActiveSearch Popup on or off

If searching for Customers or Suppliers when in the Invoice module, you may need to activate ActiveSearch Popup.

To turn this feature on or off:

  1. Open the Settings menu and click Company Preferences.
  2. If prompted, enter your password.
  3. Click the Parameters tab then select or clear the Display ActiveSearch Popup check box as required.

That's it. You can change this setting at any time by repeating these steps.


If the issue persists

You can delete the username files that store the search criteria.
