Description
If your employees have Employee groups assigned and you run any report for some or all employees in this group, you may see the error:
'Reduce the number of employees in the report selection'
Let's run through the steps to resolve this. Try to run your report again when you complete the steps under a heading below. If the issue still occurs, continue to the steps under the next heading.
Resolution
Refresh the employee list
- Log into Sage 50 Payroll using the manager login.
- Click Outline, then click All employees.
TIP: This refreshes your employee list.
- Click the required group and select the relevant employees.
- Run your report again.
Run a Repair on your data
- Close Sage 50 Payroll.
- On the Windows desktop, right-click Sage 50 Payroll.
- Click Properties, then click the Shortcut tab.
- Click Open File Location.
- Locate and double-click DBUtilities.exe.
- Select the relevant company, then click Repair.
NOTE: We recommend you run the Repair step twice.
- Click OK, then click Close.
Create a new employee group
A corrupt employee group can also cause this error. To resolve:- Create a new employee group and assign the relevant employees.
- Remove the employees from the old group and delete it.
- Run your report using the new employee group.
Workaround
If the above steps do not resolve the issue, as a workaround, you must run the report in 2 batches. If this fails, follow the steps below.
- Add the report you'd like to run to your Report Favourites.
- Close the Reports window, then select any employees to include in the report.
- Click Favourites in the top left of your software.
- Click Pre update reports or Post update reports as required.
- Select and run your report from this location.
