How to use the rollback option

How to use the Rollback option to correct a previous pay run in Sage 50 Payroll.

Description

If you need to correct a previous payroll run, you can use the Rollback option to make amendments to some or all employees.

Resolution

Before you rollback any employees, check you have the information you need to reprocess their payroll. For help with doing this, visit our what to do before you use the rollback option guide.

Roll back your employees

  1. Back up your data.
  2. On the Employee List, select the required employees.
  3. Click Tasks then click Rollback.
  4. Click Next.
  5. Check the employees on the list are the ones you want to rollback, then click Next.
     NOTE: If you don't need to rollback any employees on the list, de-select them to exclude them from the rollback. 
  6. Select the earliest pay period that you want to remove.
  7. If you select the employee's first pay period, the following message appears: 'You have selected the oldest update. Do you also want to clear the following information?' with a list of information. 
  8. Click No on the message. Only click Yes if you're certain you need to clear the values listed.
  9. Click Next then click Finish.
  10. Click OK.

You can now process your payroll again for the employees that you've rolled back, including any statutory payments you previously processed. 

If you re-run pre-update reports these only include the employees, you've rolled back.

Full payment submission (FPS) adjustment

If you've changed the pay period after submitting your normal FPS, you need to submit an FPS adjustment to HMRC.

Pension contributions

If you submitted your pension data before you reprocessed and the figures have now changed, you need to let your pension provider know.

Contact your pension provider to check how to make this amendment. 


What if I use Salary and Supplier Payments?

If you haven't paid the employee yet, you can create the new salary payment when you reprocess the payroll. This creates the new amount you need to pay the employee.

If you've already paid the employee, don't create the salary payment when you reprocess. Instead, create a payment manually in salary and supplier payments for the difference you need to pay. 


Changes to HMRC payments

When you reprocess a pay run, your liability to HMRC may change. 

If you've paid the P32 liability to HMRC for a tax month, then reprocessed it, the amount you paid may no longer be correct.

Reprint the P32 after you've made your correction and compare what you've already paid to HMRC, to the updated P32 liability. If you've underpaid or overpaid, you can adjust your next P32 payment to HMRC manually, by this amount.
