Funds not cleared after year end
Description

When you use the Charities option, you create your funds and link them to Balance sheet nominal codes. Running the Year End process clears the balances on the funds then adds them again. This is because charitable fund balances carry forward into your new year.

Linking a charitable fund to a profit and loss nominal code prevents the year-end process from clearing the code’s balance. 

This article assumes that you've already completed the year end process.

To correct this, set up a new fund linked to a balance sheet nominal code and transfer the balance.

Before you start


Check Chart of accounts for profit and loss nominal codes

  1. Go to Nominal codes then select Chart of accounts.
  2. Select the Chart of accounts layout to check, then select Edit.
  3. Check which nominal codes in the profit and loss sections.  TIP: Print the Chart of Accounts window.  
  4. Click Close then Close.

Check for fund transactions posted to profit and loss nominal codes

  1. Go to Charitable funds then select Activity.
  2. Identify any profit and loss nominal codes used.

Find which funds use profit and loss codes, then create new ones and move the balances.


Create a new fund and transfer the balance

  1. In the Charitable funds module, select New.
  2. Enter the details of the first fund you need to replace. Enter the balance sheet nominal code to use for the fund in the N/C field.
  3. Click OK.
  4. In the Charitable funds module, select Fund transfer.
  5. Transfer from the original fund to the new fund, using the brought forward amount. Use the last day of the previous financial year. 
  6. Click Save then Close
  7. Repeat steps 1 to 6 for each fund originally set up with a profit and loss nominal code.

The funds will now be correct when you run your next Year End process.
