| Sage 200 - How to update email settings due to authentication changes |
Description | Microsoft are deprecating Basic Authentication on Outlook.com, and Google are deprecating Basic Authentication on Gmail. If you don't email documents from your software, or you already use Outlook or MAPI you aren't affected and don't need to take any action. If you use SMTP to email documents from Sage 200, via Outlook.com or Gmail, you need to update your email configuration. Resolution | Your email configuration optionsIf you decide to continue sending emails from your software, your options depend on which email provider you use. To continue to send emails with a: - Microsoft email account, you need to send using Outlook
- Gmail email account, you need to either send using Outlook, or if this isn't possible use an App Password to continue using SMTP
How to update your email configurationClick the relevant option below for how to configure Sage software to: Email documents using the Microsoft Outlook app > NOTE: For the below settings to work, you will need a locally Installed version of Classic Outlook on the workstation the layout is being emailed from. When you use Outlook with Sage 200, you can configure what happens when you click the Email button on a layout. During the setup steps below, you can select: - Save emails to mailbox for your software to export emails to Outlook, for you to review and click Send in Outlook, or
- Send emails immediately for Outlook to send emails out when you export them from to Outlook
Email settings are unique to each layout in your software. Follow the steps below in each layout that you need to be able to email from Outlook. - Tools > Run Sage Report Designer (if your using Sage 200 Standard or Education login with your normal Sage 200 password).
- Select the layout that you need to amend: File Explorer > Default > Layouts.
TIP: Custom layouts that you've already saved can be found in custom > layouts or company > layouts folder - In Report Designer, click Report then Email Settings.
- In the Sending options section, select one of the following options:
- Send emails immediately
- Save emails to mailbox
- Click the Mail Provider drop-down and select Microsoft Outlook.
- Click OK.
- To save these changes, click File then Save All.
- Click File then Exit.
You've updated the settings on your layout, and can click the email option on it as normal. Your software now exports the email, or sends it using Outlook using the settings you entered above. Use a Gmail App Password and continue to use SMTP > If your email provider is Gmail, based on their support guide you can create an App Password and continue to use SMTP. NOTE: This option is only available with Gmail. Microsoft don't support App Passwords for SMTP. When you follow the steps below, you don't need to update multiple layouts. Follow these steps in one layout, and the settings automatically apply to all layouts. - Visit Gmail support to create your App Password, and find out more about how it works.
- Once you have your App Password, open Sage 200 as normal.
- Tools (cog icon) > Run Sage Report Designer.
- Select a standard layout to amend: File Explorer > Default > Layouts.
- Click Tools, then Options.
- Click the Email Setup tab.
- Under the Available Providers section, click Internet Mail (SMTP).
- Click the Configure button.
- Select Google Mail / Google Apps / GMail then click Next.
- Clear the Password field, and enter the Gmail App Password you created in Step 1.
- Enter the new App Password in the Repeat Password field.
- Click Next, then Finish.
- If you'd like to check your email configuration, click Test.
- Click OK to close the Options window.
- Click File then Save All.
- Click File then Exit.
You've updated your SMTP settings, and can continue to email layouts as normal. |
