- Select the Pay Runs tab, then select Process Pay Run.
- Check the pay date is correct, then select Next.
- Select the relevant employee, then select Add Absence then Adoption.
- Complete the following details:
Item | Description | Matching Date | Enter the date when the adoption agency told the employee that they matched with a child. | Documentation Received | Has the employee notified you of their intention to take adoption leave? Have you seen their proof of adoption? Choose Yes. | Placement Date | Enter the date the adopted child starts living with the employee on a permanent basis. | Start Date | Enter the date the employee wants to start their adoption leave.
NOTE: Start Date cannot be more than 2 weeks before Placement Date | End Date | Enter the date the employee wants the adoption leave to end. | Pension Earnings | If any SAP payment should be pensionable earnings, select this check box. Read about pensionable earnings and automatic enrolment in our article Common pension terms. | Qualifying Earnings | If any SAP payment should be qualifying earnings, select this check box. Read about qualifying earnings and automatic enrolment in our article Common pension terms. |
TIP: Payroll calculates SAP in whole weeks only, from the adoption start date. For example, the adoption starts on Wednesday. The week is Wednesday to the following Tuesday.
Select Save.
TIP: If you're new to the software, you may need to adjust the average weekly earnings figure yourself. For more information about this, read the Override AWE section below.
There may not be enough information to calculate the average weekly earnings (AWE). This option appears: Issue Certificate SAP1 | The employee doesn't have entitlement to SAP. Her earnings are less than £123. Select the SAP1 link and provide her with the form. | Manually set the AWE value | You may have started using Payroll part-way through the tax year. If there’s not enough history to calculate the average pay, select Manually set the AWE value. Enter the average weekly pay. |
- Select Save.
- Complete the pay run as normal.

Sometimes, there's no history to calculate the Average Weekly Earnings (AWE). If you have moved to a new payroll system recently, for example. You will have to calculate the AWE yourself and override the system-calculated figure. Employees get the following payments based on 100% of their normal average earnings: - Maternity Pay
- Paternity Pay
- Shared Parental Pay
- Parental Bereavement Pay
- Adoption Pay
To adjust the figure- Create and save the statutory payment as normal.
- From the absence page, select the absence you want to edit.
- Select the Override AWE check box.
- Enter the correct AWE figure and Save.
