'The report could not be generated. No data was returned for this Report'
Description

When running reports, the following message appears when there is no information to report on for the criteria given:

This can happen for several reasons and is normally easy to resolve. Let's take a look.

The information doesn't exist

 NOTE: If you're running a subcontractor statement for a month where you haven't submitted the CIS Return. Follow our Subcontractor monthly statement - No data was returned for this report guide to resolve this. 

If you run a report to show information that doesn't exist on your system, this message appears.

For example:

  • You're running an invoice report but there are no invoices in the data
  • You run an Aged Debtors report for a customer with no outstanding transactions
  • You run a Sales Credit Day Book report for a customer without any SC transactions on their account
  • You run a product activity report for a product with no transactions
  • You run a Customer Statement report and select an outstanding items only layout, but the customer account doesn't have any transactions outstanding.


Incorrect records selected

Only items you've highlighted within the module will appear on the report.

For example, if you highlight one or more invoices and run a report, the results will show that selection only.

If the highlighted records do not meet the report criteria, the message appears.

To resolve this, check you've highlighted the correct items, or click the Clear button to deselect any highlighted records.


You've applied a search

If you apply a filter or search to the module you're running the report in, the report only runs for the data showing in the filter or search. Find out more in our How do I filter my lists? guide.

For example, if you apply a filter to remove customers with an outstanding balance, running the Aged Debtors report will show the error.


To resolve this, remove the search, or change it to show the information you want to report on.


Check your regional settings 

This can occur if the date is in an American format e.g. 11/01/2022 when it should be 01/11/2022. 

Check your computer date format is set to English (United Kingdom) and not English (United States).


Check your report settings

If you have a multi-user licence, you should check where the software is looking to pick up your reports.

  1. Click Settings, then click Company preferences.
  2. Click Reporting.
    • If you hold your reports in your data directory, check the Use data path for reports checkbox
    • If you hold your reports in your standard settings directory, or you haven't made any changes to the location of your reports, clear the Use data path for reports box
  3. Click OK.

 TIP: Try running the report again, if the report has criteria, try narrowing the parameters or running for one criteria at a time to try and isolate the problematic piece of data.


Speed issues

When you run a report or layout to preview, there may be a delay in the time it takes to generate, causing the error message may appear.

Check your customers default delivery address

NOTE: This is only available in Sage 50 Accounts Standard and Professional.

  1. Open the customer's record, then click Addresses & Contacts.
  2. Click Preferences.
  3. If the Deliveries drop-down list shows none, change this to Registered address.
  4. Click OK, click Close, then click Save.

You should repeat this process for all required customers.


Check your suppliers default delivery address

NOTE: This is only available in Sage 50 Accounts Standard and Professional.

  1. Open the supplier's record, then click Addresses & Contacts.
  2. Click Preferences.
  3. If the Deliveries drop-down list shows none, change this to Registered address.
  4. Click OK, click Close, then click Save.

You should repeat this process for all required suppliers.


Download the fixed reports

  1. Click the relevant layout you want to download below.
  2. If prompted to save the file, browse to where you want to save the file, then click Save.

    Depending on your web browser, the file may automatically save to your Downloads folder. To view your Downloads folder, press Ctrl + J on your keyboard.
  3. Browse to and right-click the downloaded file, then click Copy.
  4. On the menu bar click Help, then click About.
  5. Under Program Details click the Data Directory path.
  6. Open the Layouts folder and right-click and paste in the downloaded layout file.
  7. Run the new layout from your software. These will be named 'Copy of ...'

A blank Chart of Accounts

Management reports need a Chart of Accounts with information. If the chart of accounts is blank, this message appears.

To resolve this, you should identify and correct errors in your chart of accounts.


Check your report filter

If you use a customised report, there may be a filter on it that prevents the report from running.

Try removing your filter, then re-create it. You can use our Create or edit a filter on a document guide to do this.
