Report Designer - Customise your letter layouts
Description

You can make basic changes such as changing the wording on a letter, create a completely bespoke design or create your own letter based on our templates.

When using Report Designer we recommend that you edit an existing letter layout that's close to what you want, rather than creating a completely new one. You can save the layout as a new file so you still have the original document, plus your newly amended one.

Open and save your document
  1. Click Customers or Suppliers, then click Letters.
  2. Select the document you want to change:

    Address ChangeNotify your customers or suppliers of changes to your business address. Includes the recipient's company name, address and contact name from the customer record.
    Gift Aid Declaration LetterSend this gift aid declaration form to donors to complete where your company is a charity. Once a gift aid declaration has been completed, donations can be treated as gift aid and tax on the donations can be reclaimed.
    Itemised Chase LettersThese layouts list outstanding items on the customer or supplier account. Different wording is available in the Reminder, Warning and Legal versions.
    Payment ReminderReminds a customer that a payment is due but does not list transaction details. Different wording is available in the different versions of this layout.
    Security Mail Itemised Chase LettersCopies of the Itemised Chase Letters that are configured to fit Sage Secure Mailers.
    Transaction emailsDesigned to be emailed or posted, advises your customer that you intend to start using Sage Transaction e-Mail to send trading documents via email instead of printing them. This allows your customer to automatically process transactions to their Sage software.
  3. Click Edit.
  4. On the menu bar click Report, then click Report Properties.
  5. Enter a new report name and description, then click OK.
  6. On the menu bar click File then click Save As.
  7. Enter a new file name, then click Save.
Changes you can make
You can now customise your layout from within Report Designer. The most common examples are shown below:

ImageAdd an image to your layout, for example your company logo.
Text boxesAdd a text boxes to your document, for example to display your payment terms or bank details.
Data fieldsYou can add most fields held in Sage 50 Accounts and show them on your layout.
Lines and BoxesAdd lines and boxes to highlight important data or separate your items.
