Why has Clear Audit Trail not removed some transactions?

When you use the clear audit trail option, some transactions may not clear. Let's take a look at why and how to check which transactions they are.

Transaction criteria

Transactions can only clear if they meet the following criteria:

  • Date - up to or on the date specified in the Clear Audit Trail option
  • Fully paid
  • VAT reconciled, if applicable
  • Bank reconciled, if applicable
  • If you use the CIS module, transactions must be CIS Reconciled
  • Linked to another transaction that does not meet the criteria
  • If flagged for Gift Aid, the transaction must be Gift Aid reconciled

Commonly, transactions won't clear if they're linked to other transactions that can't clear. This can involve a chain of transactions.


Checking transactions

  1. Click Transactions then select the relevant transaction.
  2. The following transaction information appears, check this information as follows:

    PaidIndicates whether or not a transaction has been paid. Each transaction is either N for not paid, or Y for fully paid.

    For a transaction to clear, it needs to be 'Y'.
    BankThis column indicates whether or not a transaction has been bank reconciled. Each transaction flags as either N for not reconciled, R for reconciled, or with a dash to indicate that it isn't eligible for bank reconciliation.

    For transactions to clear, they should flag with either R or a dash, -.
    VATThis column indicates whether a transaction has been VAT reconciled. Each transaction is flags as either N for not reconciled, R for reconciled, or with a dash to indicate that it isn't eligible for VAT Reconciliation.

    For transactions to be cleared, they should flag with either R or a dash, -.
    CISThis only appears if CIS is active. This column indicates whether or not a transaction has been CIS reconciled if applicable. Each transaction is flagged as either N for not reconciled, R for reconciled, or blank which indicates that it isn't eligible for a CIS.

    For a transaction to be cleared, this should be flagged as either R or blank.
  3. If the transaction is a customer or supplier transaction you must also check the linked transactions.

    Click Customers or Suppliers, select the required customer or supplier record, then click Edit.

  4. Click the Activity tab and select the transaction.

    The details area lists all linked transactions. Transactions linked to the transaction you're removing, must also meet the removal criteria.
    If any of the details appear as link removed this is due to repaired data after any data corruption. These transactions clear when the clear audit trail is run to a future date.

Clear Audit Trail Verification report

To help identify why transactions don't clear when the clear audit trail runs, we've created a report which shows any N's in the Bank and VAT column in red. The report should be ran up to the clear audit trail date.

Download and install the report

  1. Click the link below:

  2. If prompted to save the file, note the file name then click Save.

    Depending on your web browser, the file may automatically save to your Downloads folder. To view your download folder, press Ctrl + J on your keyboard.

  3. In Sage 50 Accounts, click File, then click Backup and take a backup of your data.
  4. Click File then click Restore.
  5. Click Browse and select the file downloaded in steps 1 and 2 then click Open.
  6. Click OK then click Yes and click OK.
  7. Enter you usual Logon name and Password.


Run the report

  1. Click Nominal codes then click Reports.
  2. Click My nominal code reports, then select the Audit Trail (Detailed) - Clear Audit Trail Verification report.
  3. Click your preferred output, for example Preview.
  4. In Criteria Values, for Transaction Date enter the range 01/01/1980 up to the date of the clear audit trail date.
  5. Click OK.
