Description

Upgrading your computer, printer, or software can cause reports to hang while searching for the old printer or driver. Printer drivers are widely shared across your system, which can cause this issue.

This can misalign report previews or prints, or make reports take longer to run.

You can also see of the following errors:

  • Settings to access printer 'xxxx' are not valid'
  • 'Report Designer was unable to generate report, settings to access printer xxxxx are not valid'
  • 'Printer name not valid'
  • 'No settings to access printer'
  • 'Error running report - The data is invalid'
  • 'An unexpected error occurred in the print driver'

Standard reports and layouts

If this issue occurs with a standard Sage 50 Accounts report or layout, before trying the steps below, restore the reports or layouts only backup.


Customised reports and layouts

Refresh printer set up

CAUTION:

If you’ve already manually edited the layout to resolve this issue, refreshing the printer can undo these manual changes.

  1. Preview your report or layout then go to Page Setup.
  2. Note your current Margins. If all margins show as 25.4, this is the cause of the error.

You can re-enter these margins after making the changes below, if needed. This keeps the report or layout printing correctly.

  1. On the 'Page Setup' window, select Printer.
  2. In the Name dropdown, select a different printer, even if it displays the correct printer.
  3. Press OK, then OK on the 'Page Setup' window.
  4. Go to Page Setup, then select Printer.
  5. In the Name dropdown, select the correct printer.
  6. Press OK.
  7. Check the margins appear as:
Layout Left: Right: Top: Bottom:
Standard portrait layout 10.16 10.16 12.7 25.4
Landscape layout 10.16 12.7 10.16 25.4
  1. Press OK, then Yes to save changes.
  2. Retry printing the report or layout.
  3. Repeat these steps for each report you’re having an issue with. 

If the issue persists, follow the use your Windows default printer section.


Use your Windows default printer

  1. Select the document you want to amend, then select Edit.
  2. In the Properties pane on the right of the window, go to the Printing section.
  3. In the Save Printer Settings dropdown, select False.
  4. Go to File, then press Save.
  5. Go to File, then press Exit.

Alternatively, to select a printer to use, follow the below steps:

  1. Select the document you want to amend, then select Edit. This opens the 'Sage Report Designer' window.
  2. On the menu bar, go to File, then select Page Setup.
  3. Select Printer then in the Name dropdown, select the printer you want to use.
  4. Press OK, then OK on the 'Page Setup' window.
  5. Go to File, then press Save.
  6. Go to File, then press Exit.

Reset your Quick print and Email settings

If the message appears when using the quick print or email options, update the default layout settings:

  1. In Sage 50 Accounts, go to Settings, then select Invoice & Order Defaults.
  2. Go to either Quick print or Email.
  3. Choose the correct default layouts, then press OK.

Multiple users using multiple printers

If you have multiple users using multiple printers, to ensure consistency you can:

  • Ask your IT support to set all users to print to the same network printer
  • Set the layout to use the computer’s default printer
  • Email your documents, which can save you money and help with cashflow
