Holiday and absence qualifying day patterns
Description

Your software uses the qualifying day patterns you set to calculate holidays and absences. It's important that you set these patterns up correctly to ensure your software's calculations are correct.

It's easy to set this up, let's go through the steps.

With the qualifying day pattern, or working pattern, you can set which days of the week an employee works or doesn't work.

Qualifying patterns in Sage 50 Payroll always run from Sunday to Saturday which can't be changed. Within a qualifying day pattern:

  • N denotes a non-qualifying, or non-working, day
  • Q denotes a qualifying, or working, day

For example, if an employee works Monday to Friday their qualifying day pattern is NQQQQQN.

To ensure that your holidays and absence calculate correctly, you must set up a qualifying day pattern before you enter details on an employee's absence diary.

TIP: If you need to change the working pattern for multiple employees at once, you can use Global changes: Holiday / SSP qualifying day patterns.

Holiday scheme working patterns

When you assign a holiday scheme to an employee, the pattern set on the scheme applies to the employee automatically.

You can edit the pattern on the scheme before you assign it to any employees, or you can edit individual employee's patterns after you've assigned the scheme to them.

Working patterns for statutory sick pay (SSP)

Your software uses the working day pattern to calculate which days are payable for SSP.

It's easy to enter an SSP working day pattern:

  1. Double click the required employee.
  2. Click the Absence tab, then the S.S.P. button.
  3. Click the Qualifying Days tab, and enter the required pattern.
  4. Click OK then Save.

Rolling shift patterns

For employees who work different shifts each week, you need to enter more than one working pattern for the employee, to reflect each shift.

When you enter a working pattern of more than one week, ensure you set the pattern start date to a date that the first pattern in Sage 50 Payroll occurred on.
