The Currency option and the Currency Calculator
Description

When using Foreign Trader you can use the Currency option and Currency Calculator to convert values between your base currency and other currencies. You can:

  • Receive a foreign currency payment from a customer and convert it to the base currency.
  • Enter an invoice received from a supplier in a foreign currency and convert it to the base currency.
  • Print a sales invoice that also shows the euro value. For further information about this, please press the F1 function key to open the Help system.

Create a new currency record

  1. Click Settings then click Currencies.
  2. Select the next available blank Currency then click Edit and complete the Edit Currency window as follows:
    Currency name Enter the currency name.

    After entering the currency name, press Tab, the currency name you enter appears in the Exchange Rate box labels.
    Currency Code Enter the 2 or 3 letter international code for the country details you're entering.
    Currency symbol Enter the currency symbol. For, example, $.
    Currency per Pound Sterling box Enter the exchange rate.
    Pound Sterling per currency box This calculates automatically using the exchange rate you enter in the Currency per Pound Sterling box.
    Major currency unit Enter the major currency name. For example, Dollar.
    Minor currency unit Enter the minor currency name. For example, Cents.
  3. Click OK then click Close.

Edit an existing currency record

Click Settings then click Currencies and select the currency then click Edit.

You can't use this option to edit the Euro currency.

The following options can be changed:

Currency name The name of the currency. For example, US Dollars.
Currency Code The short code for the currency. For example, USD.
Currency Symbol The symbol for the currency. For example, $.
Exchange Rate The exchange rate between this currency and the base currency.

You can't change the exchange rate on the base currency.
Major Currency Unit The name of the major unit for the currency. For example, Dollars.
Minor Currency Unit The name of the minor unit for the currency. For, example, Cents.

Enter your euro exchange rate

The exchange rate isn't a fixed amount and may change on a daily basis.

  1. Click Settings then click Currencies.
  2. Select Euro, then in the Exchange rate box enter the current exchange rate. For example, if the current Euro to Pound Sterling exchange rate is 1.2 you should enter this figure.

    The current exchange rate appears and the reverse Pound Sterling to Euro exchange rate automatically updates with the reverse rate. For example, with the exchange rate above the reverse rate will be 0.833333 Pound Sterling per Euro.

  3. Click Close.

Convert value from foreign to base currency

To access the Currency Calculator, from any monetary value box within Sage Accounts, press F5 or press Ctrl + F5 or click the calculator button  , then click CC.

In this example, we're posting a purchase invoice that's a US dollar value of $200 that must be converted to pound sterling.

  1. Click Suppliers then click Batch invoice.
  2. Enter the information required to record the transaction, for example, enter the following information onto the Batch Supplier Invoices window:
    A/C* Date* N/C* Details Net T/C* VAT
    Supplier's account reference Required date Required nominal code Transaction details Net dollar value, for example, 200 Tax code Enter the correct VAT amount
    *This information is mandatory.

  3. To open the Currency Calculator click the value in the Net column and press the F5 or Ctrl + F5.

    For Bank payments and Bank receipts, press Ctrl + F5.

  4. In the Convert From drop-down click the relevant currency. For example, US Dollars.
  5. Click OK and click Save then click Close.
