Information on how to carry out an audit of your users in the Sage Provisioning Portal

It is important to carry out audits on your user lists from time to time to ensure users who have access, have the correct level of access and users who shouldn't, don't.
- Users in the portal should also follow our guidance around using named users and named email addresses meaning there shouldn't be any generic accounts such as finance@ or an account which is used by more than one person, please read the help file around the requirements for this.
- Roles should be checked and amended where required to ensure the right people can add and remove user access.
- People who have since left the company should be removed from the portal.
The first thing to check is which users you currently have against your site and customer account.
Starting with the site level.

- Open the Sage Provisioning Portal and login as normal.
- You will firstly be presented with the site list page, you should only see the one site you administer.
- Click the Site Name link to navigate to the site details page, this should be your company account name.
- On the Site Details page, scroll down to the Users section which will show you who is currently assigned to the site and which role they have.
- If there are any users in this list which shouldn't be, such as people who have left the business, they will need to be removed by clicking the 'x' icon under actions. This will unassign the user from the site so they don't have access to the software but will still remain as a user on the Provisioning Portal (the section further on in this article will detail removing from SPP entirely).
The padlock icon is to lock users. This will disable a users access to the software without unassigning them from the site, you may use this if an auditor accesses the system from time to time.
TIP: If you don't have any options under Actions, you will likely need to add the Customer Operations Agent role, users with only the Customer Administrator role don't have the option to remove users, more info on roles can be found here. You can check what your current assigned role is by clicking your name in the top right hand corner of the website. - Clicking the Unassign button will produce the message below, click Yes and the user will be unassigned, usually within 30 seconds.
Amend a users roleAmend a Users role
You may need to make alterations to a users role so they can either access more or less on the Sage Provisioning Portal, certain user type can add, amend and assign users whereas a Customer User role can't. More information on the different roles can be found here.
- Open the Sage Provisioning Portal and login as normal.
- Select Users from the Organisations drop down menu.
- This will list all users which have been added to your customer account.
- Here you can click a users Name which will open the Edit User form from which you can tick and untick roles.
