How to upload a 'dummy' payslip in Sage 50 Payroll to Sage HR Online Services.
Description
As well as to make payslips to view online, uploading payslips from Sage 50 Payroll can also do the following:
- Create a new employee profile in Sage HR Online Services. This is automatically linked to an employee record in Sage 50 Payroll
- Link a manually added profile in Sage HR Online Services to an employee record in Sage 50 Payroll
- Update employee details in Sage HR Online Services amended in Sage 50 Payroll
However, if you can't wait til the next pay run to upload any payslips, you can upload a 'dummy' payslip instead. This is a payslip populated with minimal value to allow you to upload a payslip. This then, for example, updates your employee's details in Sage HR, and you can then delete the dummy payslip from the employee's profile.
Let's run through this together.
Resolution
- If the employee doesn't already exist in Sage 50 Payroll, Add the new employee first.
- Click Payroll, then click Change Process Date.
- Set the process date to when the employees' first payment will be due.
- On your employee list, select this employee then click Enter Payments.
- Enter the employee's payment as £0.01.
NOTE: Don't update records during this process. You don't need to save this value. - Close Enter Payments, then with this employee selected on your employee list, click Upload Online Payslips.
- Check the information in the summary is correct, and if required, click Print summary.
- Select to publish immediately.
- When you're ready to upload your payslips to your Online Services, click Publish Payslips.
That's the employee now imported into Sage HR Online Services. Now delete the dummy payslip from the employee's profile.
TIP: Inform the employee to ignore this payslip if they receive a notification to view it. - Log into Sage HR Online Services, go to the employee's profile, then click Payslips & P60s.
- On the dummy payslip, click the three dots, then click Delete, then click OK when to confirm you want to delete it.
The dummy payslip has now been removed.
