What to do if the main admin profile and employee profile have merged together in Sage HR Online Services.

Description

If you set up Sage HR Online Services with a specific email address, this becomes the main administrator. If that same email address is used for an employee listed in Sage 50 Payroll, if you then add that employee to Sage HR Online Services by uploading their payslips, this merges the admin and employee profile together.


EXAMPLE: Sage HR Online Services has been set up under [email protected]. An employee record is created in Sage 50 Payroll with [email protected] as their email address. Payslips are uploaded for the first time which imports that employee into Sage HR Online Services with that email address. The admin user email and employee email are now both [email protected] resulting in the admin and employee profile merging in Sage HR Online Services.

Problems this causes include:

  • Main admin profile now has employee's name details in Sage HR Online Services
  • Any payslips uploaded for the employee are directed to the main admin's profile
  • Employee can't access their profile without the main admin's log in details
  • An employee user now has access to view all other employees, including their payslips
  • You can't change the email address for the merged profile
  • You can't delete the employee in Sage HR Online Services because the main admin profile can't be deleted
