Sage 200 - Commercial invoices

This guide explains what a commercial invoice is and how to create them in Sage 200.

Description

A commercial invoice accompanies the goods being exported, therefore you will need to generate one for each despatch you make. Therefore it will be necessary to base the generation of the commercial invoice on the despatch process and you must despatch the goods in the system prior to generating the commercial invoice.

What information can be on a commercial invoice?

There is no legal format for a commercial invoice - it is a document that is often used to report the most common information needed when completing the most common import and export formalities. The following information is normally included in a commercial invoice:

  • Your company address.
  • The receiver's address.
  • For each item being shipped, the commodity code, also known as the tariff code or harmonized code, and a description of the goods.
  • The Incoterm that the goods are being moved under. There is no legal set of Incoterms but the most common are those maintained by the International Chamber of Commerce and these were updated in 2020. Incoterms means International Commercial Terms.
  • The reason for export.
  • The value of the goods in the relevant destination jurisdiction's currency.
  • Your VAT and EORI Number number.
  • Space for the vendor’s agent’s signature.

To support you we have created a basic template which you can run based on customer code and / or despatch note number and includes the fields currently available in your software.

Fields included in the template

  • Your company address.
  • The receiver's address.
  • The delivery address.
  • For each item being shipped, the commodity code, also known as the tariff code or harmonized code (HS Code), and a description of the goods.
  • The value of the goods in the relevant destination jurisdiction’s currency.
  • Unit weight.
  • Total weight.
  • Your VAT and EORI number.

If the following information is static for your business, it could be added to your template as pre-defined text.

  • The delivery terms
  • The reason for export.
  • Signature

It may be possible to make additional information available to your report document using the analysis fields held within the program but must be handled on a case by case basis via our Report Design Service.
