Description
In Sage 50cloud Accounts v25.1 and above, you can add attachments to Journals. These attachments can be explanatory notes or copies of documents to clarify the reason for the journal entry. Let's take a look at how to add these.

Add an attachment
Attachments can be up to 5mb in size, and must be one of the following file types: csv, dif, doc, docm, docx, dot, dotm, dotx, ods, odt, pdf, rtf, slk, tsv, txt, xla, xlam, xls, xlsb, xlsm, xlsx, xlt, xltm, xltx, xml or xps.
- Click Nominal codes, then click Journal entry.
- Enter the details of your journal as normal.
- Click Add attachment.
- Browse to and select the required files, then click OK.
- When you've entered all of the required details and completed the attachment, click Save and click Close.
View an attachment
There are several windows in the software where you can view the details of an attachment.
Transactions
- Click Transactions, then click the transaction with the attachment you'd like to view.
- In the View column, click . If there is only one attachment, it will open, if there is more than one attachment a list of attachments appears.
TIP: Alternatively, after highlighting a transaction that has an attachment, you can click View attachment on the toolbar.
Nominal Activity
- Click Nominal codes, select one of the codes used in the journal and click Activity.
- Double-click one of the required journal entries, then click View attachment.

Once you've added an attachment to a journal and saved it, on editing the journal, a View attachment option appears alongside the Add attachment option.
Add further attachments
If required, you can edit an existing journal through the Transactions module or the Nominal Activity window and add further attachments. Attachments can only be added to journals created in Sage 50cloud Accounts v25.1 or later, or grouped journals upgraded from v22 or above.
