Description
When you check your data, you can see the following warning: 'Sales/purchase aged balance disagrees with control account'.
Double-clicking the warning shows the amount it disagrees by.
We recommend you fix this warning before continuing to process.
Cause
Journals posted to the debtors or creditors control account can cause these warnings.
Resolution
Before you start
The default nominal codes for the control accounts are 1100 and 2100.
Check your control account nominal codes:
- Go to Settings then Control Accounts.
Check for journals
Posting a journal to the debtors or creditors control account changes the nominal code balance. This doesn't affect the customer or supplier balances and aged reports, causing the discrepancy. Only post journals to these control accounts when entering and reversing opening balances.
- Go to Nominal codes then Reports.
- Select Day books.
- Double-click Day Books: Nominal Ledger.
- In Transaction Date leave the default date, Between (inclusive), 01/01/1980 and 31/12/2050.
- In Nominal Code dropdown, select Is and enter the debtors or creditors control account.
- Select OK.
- Check the Totals at the bottom of the Debit and Credit columns.
If the values match, journals aren't the cause. If they differ, subtract one from the other for the difference.
If there's a difference
Determine if the journals are correct.
- If correct, you don't need to take any action. A difference will always exist between the aged debtors or creditors and the control account
- If incorrect, reverse the journal and post another to move the discrepancy to a different nominal account. For example, the mispostings account
If you're unsure if the journals are correct, consult your accountant.
If there's no difference
Journals posted to the control accounts aren't causing the warning. Check for link removed transactions.
A link removed transaction is paid by another transaction that no longer exists in the data. When you view the transaction allocation, the software shows Link Removed instead of the transaction details.
