TASBooks - Maintaining users and passwords

Summary

If you have more than one person processing in TASBooks, you can set up individual logon names and passwords.

Description

By setting up different logon names you can easily keep track of each person's activity and control which areas people can access. On network versions of TASBooks, you must set up individual logon names if more than one person is to process information at the same time.

Resolution

Add a user

  1. Click Central, then click User Password Maintenance then click Maintain Users.
  2. Click Add.
  3. Click the General tab and complete the following information:
    User code Enter the code you want this user to enter when they log into TASBooks.
    Name Enter the user's name.
    Needs password to login If you want to make it compulsory for this user to have a password, select this check box.
    Encrypt for maximum security For maximum data security, select this check box.

    Don't select this check box if you're creating a user account to use for accounting integration with TASPayroll.
    User Type Select either Standard User or Supervisor User.
    Can process payments using TAS Payment Services If you want this user to take customer card payments using TAS Payment Services, select this check box.
    Can clear other user logins from TASBooks If you want to allow this user the ability to clear the logins of other users, select this check box.
    User account locked If you want to prevent this user from logging into TASBooks, select this check box.
  4. Click the Options tab and complete the following information:
    Can edit a transaction after it has been saved If you want to allow this user to edit existing transactions when drilling down on an entry on reports or activity windows, select this check box.
    Can edit an un-posted sales order If you want to allow this user to edit unposted sales orders for example, by drilling down on reports or recalling the entry using Sales Order Enquiry, select this check box.
    Can override accounts on credit stop If you want to allow this user to process transactions on accounts with a credit stop. This is selected by default if the user is a Supervisor user, select this check box.
    Can search for records/transactions using the Search option If you want to allow this user to use the Search option to find records or transactions in TASBooks, select this check box.
    Can customise fields to be displayed in Lookup lists If selected, this user can customise the way information appears in a lookup list by clicking Custom at the bottom of a list. They can then choose which fields are displayed, and in which order.
    Can use Excel Integration If you want to allow this user to use Excel Integrated Reporting to work with TASBooks data in Excel, select this check box. Once selected, you can also select which type of information you want the user to be able to view in Excel.
    Choose ledger date options for this user If you want to allow this user the ability to clear the logins of other users in View current logins window, select this check box.
    User account locked Select whether you want this user to use ledger dates set up for this TASBooks company as a whole, or if you want them to be able to set their own personal ledger dates.
  5. Click the Access Rights tab and check the areas of TASBooks you would like the user to have access to.
  6. Click OK.
  7. Click Yes to save the new user.

Edit a user

  1. Click Central, then click User Password Maintenance then click Maintain Users.
  2. Select the user you want to change, then click View/Edit.
  3. Make your changes.
  4. Click OK.
  5. Click Yes to save the new user.

Change your own password

  1. Click Central, then click General Company Information, then click Personalise.
  2. Click Security, the click Change Password.
  3. Enter your existing password, if you have one, then enter and confirm the new password, then click OK.
  4. Click OK.

Change another user's password

  1. Log into TASBooks as a supervisor user.
  2. Click Central, then click User Password Maintenance, then click Maintain Users.
  3. Select the relevant user and click View/Edit.
  4. Click Set Password then enter and confirm the new password.
  5. Click OK, then click Yes.
  6. Click Close.
