My Trial Balance does not balance. What steps should I take to investigate?

This article will help you resolve issue with your Trial Balance in Sage Accounts Production Advanced.

Process

If your trial balance doesn't balance, has incorrect figures or doesn't agree to your posting documents, please follw the steps below.

If one step resolves the issue, there is no need to continue with the remaining steps.


Take a backup of your client

Take a backup of your client before proceeding with the suggestions below.

CAUTION: It is extremely import to make sure you take a backup before proceeding. If the following steps do not resolve the issue Sage Support will need a copy of the backup taken at this stage.


Rebuild Files
  1. Choose Tools then Rebuild Files.
  2. Click Rebuild to run the process.
  3. Click Close.
 
Check posting documents

Check each posting document balances

  1. Choose Document Postings.
  2. Open each posting document one at a time.
  3. In each document, use the tab key to tab through each line of the document. (This is important because it will also highlight any invalid nominal codes that have been used)
  4. Check that the Balance and Proof Total are zero, if they are click Close.
  5. If there is a Balance or Proof Total make the balancing entry to balance the document and Trial Balance.
 
Revert Account Ranges to master

Accoun ranges determine which codes are P&L, which are SoFP and which are Memorandum

  1. Choose Account Setup.
  2. The Account Ranges are defined at the bottom of the Accounts Production tab.
  3. Click Revert To Master.
  4. Click Yes to the Confirm message.
 
Revert Sales and Purchase Ledger ranges to master

If you have used Sales Ledger (SGC) or Purchase Ledger (LGC) posting documents

  1. Choose Account Setup then the Ledgers tab.
  2. Click Revert To Master.
  3. Click Yes to the Confirm message.
