Summary
Description
Using the phone option you can automatically dial a telephone number from within Sage Accounts. To use this feature, you must have the following:
- A modem that works through Microsoft Windows.
- A communication port.
- A telephone and modem which share the same line. The telephone doesn't need to be connected to the computer.
Resolution
Enter telephone numbers
The phone option is available in both the Customers and Suppliers modules. You must enter the telephone numbers using the recommended international format.
The international format is +CC(AC)NUMBER, where CC is the country code, AC is the area code and NUMBER is the local phone number.
For example, if a customer's telephone number is 0191 294 3000, enter it as +44(0191)2943000.
- Click Customers, double-click the relevant customer, in Telephone enter the customer's telephone number.
Check the modem settings
Windows 8 and 10
- Press the Windows key + X, click Control Panel then click Phone and Modem.
- Check the following settings:
What country/region are you in now? From the drop-down click the correct country. What area code (or city code) are you in now? Enter the local area code for your current location. If you dial a number to access an outside line, what is it? Enter the relevant numbers required to access an outside line. - Click Apply, click OK then click OK.
Windows 7 / Vista
- Open the Windows Start menu, click Control Panel then click Modem Options.
Windows 7 - In Control Panel, in the top right corner, set the View by drop-down list to Small icons, then click Phone and Modem Options. - Click My Location then click Edit.
- Check the following settings:
Location name Enter a name for your current location. Country/region From the drop-down list choose the correct country. Area code Enter the local area code for your current location. To access an outside line for local calls, dial: Enter the relevant numbers required to access an outside line for local calls, for example 9. To access an outside line for long-distance calls, dial: Enter the relevant numbers required to access an outside line for international calls, for example 52. - Click Apply, click OK then click OK.
Windows XP
- Open the Windows Start menu, click Settings then click Control Panel.
- Click Phone and Modem Options, click My Location then click Edit.
- Check the following settings:
Location name Enter a name for your current location. Country/region From the drop-down list choose the correct country. Area code Enter the local area code for your current location. To access an outside line for local calls, dial Enter the relevant number(s) required to access an outside line for local calls, for example 9. To access an outside line for long-distance calls, dial Enter the relevant number(s) required to access an outside line for international calls, for example 52. - Click Apply, click OK then click OK.
Dial a number
To dial a telephone number, from within the relevant record, click the dialler button to the right of the required telephone number.
The new call window appears, and Sage Accounts automatically tries to dial the telephone number. If there's no answer within 30 seconds, the modem drops the line and you need to redial.
Potential errors
- If no telephone number is found, the message: 'Account has no Telephone Number' appears. Edit the Customer/Supplier Record, entering the telephone number in the correct format as shown in the previous section.
- If no modem is found, the following message appears: 'Phone Dialler was unable to find a telephone device or modem to use to dial voice calls. In Control Panel, double-click Modems to install a modem, or install another telephone device to use for dialling calls. OK.'
- If the communication settings within Windows are incorrect, the following message appears: 'Windows Telephony was unable to complete an operation requested by Phone Dialler. Quit and restart Phone Dialler. OK.'
