Why are values different on my VAT Return?

Summary

Why values can change when re-running a VAT Return in Sage 50 Accounts.

Description

If the VAT Return has already been marked as reconciled, you can re-run it for the same period by selecting the Include Reconciled check box on the VAT Return window then calculating the VAT Return as normal.

  1. Click VAT then click VAT Return.
  2. Enter the required Date range, then select the Include reconciled transactions check box.
  3. Click Calculate VAT Return.

The VAT return may be different to when it was originally calculated due to the following:

  • Transactions originally shown as unreconciled and outside the specified period are not included - If the VAT Return for the period originally included transactions from outside the specified period, for example invoices that were dated in the previous period but were still unreconciled, these transactions are not included.
  • Vatable transactions entered into that period since the VAT Return was reconciled are included- If any vatable transactions have been entered using a date within the VAT period, for example an invoice arriving late, these transactions are now included in the recalculated VAT Return.
  • Adjustments or reversals entered into that period are included - Any adjustments or reversals made with vatable tax codes within that VAT period are included in the recalculated figures. For example, if an invoice was originally included on the VAT return and has been reversed using the Corrections option, the credit note posted by Corrections to reverse the invoice is now included on the VAT Return.

This steps below explain what to do if the values are different.

Resolution

Back up, then restore an earlier backup
  1. Take at least 2 backups of the current data.
  2. Restore the backup taken immediately prior to running the VAT return in question.
  3. Recalculate the VAT return for the period and print the Detailed VAT Return Report.
  4. Restore the backup taken in step 1.

You can now compare the transactions on the Detailed VAT Return Report from the previous backup to the transactions in your current data to identify the difference.

Refer to an archived VAT Return
  • Click VAT then double-click the required VAT Return.

You can now compare the transactions on the archived VAT Return to the transactions in your current data to identify the difference.
