Forms you can receive

To access the HMRC Mailbox, enter your HMRC user ID and password into your software. You can then receive forms, which enables you to automatically update your employee records.

  • P6 & P6(B) - Notice to an employer of a change of employee's pay and previous pay and tax
  • P9 - Notice to employer of a change in employee's tax code
  • SL1 - Notice to start a student loan deduction
  • SL2 - Notice to stop a student loan deduction
  • NVREP - The NINO Verification Reply (NVREP) is a message sent to you by HMRC in response to a NI number Verification Request (NVR) message. It's used to correct or confirm National Insurance (NI) number information.
  • NOT - You might receive a NI number verification notice (NOT) after you submit an FPS. HMRC automatically checks that the NI number is present and correct and sends an appropriate response.

You can also use the IR Secure Mailbox to submit P46 (Car) forms to HMRC


Automatically check for a new message

You can set up your software to automatically check for messages sent using the HMRC Mailbox.

  1. Click e-Submissions, then click e-Submission Settings.
  2. Select the Check for new messages when opening the IR Secure Mailbox check box.
  3. Click Save, then click Close.

Open and apply a message from HMRC

 TIP: If you receive a tax code change for a future date, apply this as normal and the code is applied from the correct pay period. 

It's quick and easy to open and apply messages from HMRC that you receive, let's go through the steps:

  1. Click e-Submissions, then IR Secure Mailbox.
  2. Click New Mail.
    Tax codes and other notices download to your mailbox.
  3. Click the relevant form, then click the notice.
  4. Click Open, then click Apply.
  5. Click Yes, then click Close.

View and print notice details

  1. Click e-Submissions, then click e-Submission log.
  2. Click the Applied Mail tab.
  3. Use the drop-down lists to filter the entries in the log.
  4. Click Print and check your printer settings.
  5. Click Print, then Close.
  6. Click Close.

Delete a message

  • Simply click the message then click Delete

 TIP: If the message doesn't remove, close the mailbox and re-open.
