After creating a Weekly, 2-Weekly, 4-Weekly or Monthly calendar, you can edit its settings.

You can change each frequencies Pay Days, and the overall Pay Calendar.

Pay Calendar

Here, you’re able to view all previous and future scheduled pay runs. It will display the Pay Cycle, Pay Date, Day and Status of each pay run.

By selecting an unprocessed period, you can change the Pay Day and also make that the current pay run. You can do this if you’ve skipped a period, or entered the incorrect details when first setting up a calendar. 

▼To edit the pay calendar
  1. Select Settings from the menu bar.
  2. Select Pay Day Settings.
  3. Select View Pay Calendar.
  4. Select the period you wish to view.
     NOTE: To view previous periods, tick the Show pay days dated earlier than the current pay run box. 
  5. Change the Pay Day or tick the Make this the current Pay Run box.
  6. Select Save.

Pay Days

Here you can change which day of the week, or date in the month you pay your employees on. You can also choose when you want the changes to apply from.

For the monthly calendar, you can also specify if you want to Avoid Public Holidays and Weekends. If selected, whenever a pay day falls on these, it will default to the previous working day.

▼To edit a frequencies pay days
  1. Select Settings from the menu bar.
  2. Select Pay Day Settings.
  3. On the relevant frequencies, select Edit Pay Days.
     NOTE: 
    If this is a brand-new calendar and you haven’t yet processed a pay run, you’ll have an option of Manage Frequency. Select this and then select Edit Pay Days. 
  4. Change the details for your pay calendar.

Weekly, 2-Weekly and 4-Weekly

Pay Day Choose the day of the week you want to pay your employees.
First Pay Run

Select the date you want to first pay your employees. You can only choose dates for the day you selected.


Monthly

Item Description
Pay On Monthly only:

  • Same day of the month – Pay your employees on the same date each month. 
  • Last day of the month – Pay your employees on the last working day of each month.
Day of the Month

If you choose Same day of the month, you must select the specific date.

First Pay Run

Select the tax year and the month you want to first pay your employees. 


  1. Select Save.

If your pay date falls on a bank holiday or weekend

In line with HMRC guidance, you must enter the usual date that you pay your employees, even if you pay them earlier or later.

EXAMPLE:

You pay your employees early because your usual payday falls on a Bank Holiday. Still enter your regular payday in Sage Payroll.
