Sales Day Book report
Description

You can use the Sales Day Book report to view the different sales transactions for each of your customers on one report. The report shows an overview of each transaction including the type, net and VAT amounts. You can view this for a specific date range for all transactions or for certain transaction types.

The report includes the following sales transaction types:

  • Invoices
  • Credit notes
  • Quick entry invoices and credit notes
  • Opening balance invoices and credit notes

To produce the report

  1. From Reporting, select More.
  2. Under Detailed Reports, select Sales Day Book.
  3. To search for a particular customer, enter their name in the search box. You can also search by invoice or credit number, reference or value.
 TIP: If you want to search for a credit note by value, this must be a negative amount. 
  1. From the Period drop-down menu, choose one of the following options:
This MonthTo produce the report for the current month, use this option.
This QuarterTo produce the report for the current quarter, use this option. For example, if the current month is June, the date range is 01/04/2018 to 30/06/2018.
This YearTo produce the report for the current year, use this option.
This Financial YearThis option only appears if you enter your Year End Date in Accounting Dates & VAT.

The report dates default to a 12 month period, based on the day and month you entered for your Year End Date.

Note: This produces the report for the current year regardless of the year set in Accounting Dates & VAT.
Last MonthTo produce the report for the previous month, use this option.
Last QuarterTo produce the report for the previous quarter, use this option. For example, if the current month is June, the date range is 01/01/2018 to 31/03/2018.
Last YearTo produce the report for the previous year, use this option.
Last Financial YearThis option only appears if you enter your Year End Date in Accounting Dates & VAT.

The report dates default to a 12 month period for the last financial year, based on the day and month you entered for your Year End Date.

Note: This produces the report for the previous year regardless of the year set in Accounting Dates & VAT.
CustomEnter the report dates you want to run the report from and to.
  1. Select More, then choose the required options:
  • Type – If required, choose the type of transactions you want to view. Alternatively, to view all sales transaction types, leave this as All.
  • Analysis Type and Analysis Category – If you use analysis types, to run the report for a particular type or category, choose the relevant options.
  1. To view the details of a transaction, click the relevant line. To return to the report, click back on your browser menu bar.
  2. To export the report, click Export then choose either CSV or PDF.
 TIP: The report automatically downloads and when it’s ready a message appears on your menu bar. The amount of time the report takes to download depends on the amount of data you’re exporting. You can continue to use Accounting while the report downloads. 
The report is ready when a notification displays on the main navigation bar, to the left of Profile. Select the notification bell to open the report.

Depending on how you chose to export your report, one of the following happens:

  • CSV – Depending on your Internet browser, the file automatically downloads to your Downloads folder or you’re prompted to save the file > browse to where you want to save the file then select Save
  • PDF – The PDF opens in a new window or tab. Open your browser File menu then choose to print or save the report

You’ve successfully produced the Sales Day Book report.
