You can check if an employee has an RTI Pay ID by browsing to: - Employees in the menu bar.
- Select relevant employee from the list.
- Under the heading of Current Tax Details, find the RTI Pay ID field.
If they don't, do one of the following: New starters The employee is a new starter who has moved from another business. Leave the field blank in the employee record. Payroll assigns them an RTI Pay ID automatically. Migrating from another software Transferring from another payroll system part way through a tax year. You must enter the RTI Pay ID when you set up the employee in Payroll. - If you have access to the old system, get the RTI pay ID from there.
- If you used HMRC Basic Tools, look under Employee Details. Select Employment Details. The Payroll ID is your RTI Pay ID
CAUTION: If you don't have access to the previous payroll program or can't find the Payroll ID, use your own employee RTI PayID. This needs to be an uniquie identifier. For example SO-1, SO-2 etc. You must inform HMRC that the employees have received a new RTI Pay ID without any change to their employment status. Do this before running the next payroll.
